C130 - Administrative Assistant
Performs a variety of secretarial and administrative duties for two managers and six team leads supporting a workforce of approximately 141 employees.
Must be able to interact, coordinate and disseminate information with employees, internal and external customers. Performs training coordinator function for the project. Monitors and reports employee training status and enrolls employees in classes. Maintains training plans/paths for various department positions. Maintains and controls department training files. Monitors and reports employee training status. Coordinates and schedules conferences and meetings including rooms, announcements, audio/video and other equipment as needed. Performs normal office functions such as setting up and maintaining alphabetical, numerical, and/or subject files; receiving calls and making proper referrals; and picking up and distributing mail. Uses personal computers and standard desktop software to compose reports, presentations, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Coordinates travel arrangements and prepares expense reports. Maintains and controls personal and proprietary data exercising sound judgment. Monitors office supplies and submits requests for replenishment. Oversees and submits expense reports for employee safety shoes and safety glasses reimbursement programs. Performs other duties as assigned. Exercises appropriate interpersonal skills in interacting with employees and customers. Equipment custodian for office equipment and Air Force computers used on the project.
Basic Qualifications:
- Proven administrator or assistant experience.
- Proficient in Microsoft Suite of Programs: Word, PowerPoint, Excel, Outlook, and Project.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Ability to obtain and maintain DoD Secret Security clearance
Desired skills:
- Familiar with Air Force Training and IMDS system
- Familiar with Air Force computer systems, access and security.
- Familiar with Air Force Commander Support Staff type functions.
