Job Summary
This position is advertised from the minimum to the mid-point hourly salary. Salary will be determined on education and experience at the time of offer.
Under general supervision, performs complex courtroom, legal clerical, secretarial, office, and related duties in support of the justice of the peace and justice court operations; this position has department specific responsibility.
Nature of Work
Illustrative Only) Works in the courtroom in support of the justice court process; assures, readiness of court, both physical and clerical, calls court to order and assures presence of all parties and witnesses; dismisses court; calls escorts witnesses to court; marks and maintains evidence and evidence lists; serves as court clerk, as necessary; maintains records / recording of all hearings on the JAVS system; provides a Security presence in the courtroom; maintains order; summons law enforcement assistance as required; coordinates prisoner transfers and appearances in court, and processing of necessary paperwork; works with jurors; escorts jury members outside of the courtroom; maintains security of jury deliberation room; carries messages and requests to and from the judge; coordinates with the jail for any inmate / defendant transfers to hearings; conducts pre-trial conferences, as authorized; coordinates the court calendar; sets and continues hearings, trials and other court proceedings; responds to inquiries regarding court cases; maintains record of court procedures; prepares reports; performs a variety of tasks in the justice court clerk's office; works with the public in person, by mail and by telephone; creates and updates cases and case files manually and in the automation system; checks documents for completeness; issues court processes; accepts and receipts fines, bonds, filing and copy fees and other monies; balances cash drawer and prepares deposits, if necessary; coordinates purchase of equipment and supplies and maintains inventory of supplies and forms; acts as judicial assistant, as requires; undertakes legal research, schedules appointments and meetings for the judge, drafts and proofreads letters, memoranda and other correspondence; works closely with the State, defense counsel and other entities; maintains absolute confidentiality of cases and victim information; regular and reliable attendance is required; performs other duties as assigned.
Experience and Education
High School diploma or GED equivalent; and three (3) years of Justice Court legal clerical work experience including one (1) year of experience as a Bailiff; OR five (5) years of clerical, secretarial, customer service, paralegal or closely related work experience; OR an equivalent combination of education and experience. Requires successful completion of a background check.
Knowledge, Skills and Abilities
Knowledge of : applicable State Statutes, court rules and administrative orders; Yuma County policies and procedures; court procedures, legal terminology and business English; rules and regulations regarding jury activity and courtroom behavior; principles and practices of supervision and skills training; bookkeeping methods and accounting principles; modern office practices, procedures and equipment.
Skill in : operating office equipment; preparing clear and comprehensive written and statistical reports; establishing effective working relationships with employees, other agencies and the public; following written and verbal instructions; communicating effectively verbally and in writing.
Ability to : answer questions regarding court proceedings, confront members of the public who become agitated, and respond firmly and tactfully in stressful situations; plan, prioritizes, manages and responds to multiple assignments in a fast-paced environment; use modern office equipment and computers; communicate effectively verbally and written; lift up to 5 - 25 lbs; perform the essential functions of the job specifications with or without a reasonable accommodation.
Working Environment :
The usual and customary methods of performing the job's functions require the following physical demands : occasional lifting, carrying, pushing, and / or pulling; some stooping, kneeling, crouching, and / or crawling; and significant fine finger dexterity; generally the job requires 60% sitting, 20% walking and 20% standing; working at a computer monitor for extended periods required; the job is performed under minimal temperature variations and in a generally hazard free environment and may have risk of exposure to communicable diseases.
