This position is located in Evanston, Illinois.
The Private Grants Manager is a member of the development department focusing on full-cycle private grant management, including research, application, and reporting. The position reports directly to the Chief Development Officer and will collaborate with program staff as well as our Senior Manager of Public Grants. This role manages private foundation, corporate, and faith-based grant applications and cultivates effective institutional relationships with funders.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Private Funding Grant Management (80%)
- Manage all private foundations, corporate (including some event sponsorships), civic and faith-based grant applications, reporting, research, and institutional relationships.
- Acts as primary point of contact for all private grant contracts and manages effective relationships with grant officers, and coordinates site visits in collaboration with relevant staff as needed.
- Maintains regular communication with finance and program staff to ensure alignment for outcomes, progress to goals, and data capture.
- Research funding opportunities that could be leveraged for YWCA and maintain up-to-date records to show progress toward goals.
- Ability to receive feedback on applications internally as needed and ask for feedback from funders when we do not receive funding.
- Input grant information into the grant management platform and manage login information across multiple databases.
- Leads a collaborative pre-award process, developing all funding applications, including key decision makers to move the process along, assigning tasks to relevant staff, collaborating with the Senior Grants Manager to add existing templates and edit new narrative content, and ensuring the completion of applications and submits in a timely manner.
- Share post-award tasks to ensure clarity across all internal teams. Manage the post-award process, including reviewing contracts in detail for approval and ensuring full compliance with all contractual obligations.
- Attend funder training as required.
Reporting and data management (15%)
- Run reports as needed, including creating and managing reports for all grant applications, annual grant surveys, annual reports, and more.
- Ensure all grant program and finance reports are submitted by the deadline with adequate time for interdepartmental collaboration and review.
- Collaborate with directors to set program projections for all grant program applications for the upcoming fiscal year.
- Manage timelines and due dates for multiple applications at once.
ADDITIONAL DUTIES (5%)
- Attends staff training and participates in agency committees.
- Pursues professional development.
- Support organizational events as needed.
- Understands and adheres to all YWCA Evanston/North Shore procedures and policies as well as YWCA Employee Handbook.

Requirements
MINIMUM QUALIFICATIONS
Education: College coursework with an emphasis on writing and research.
Experience and/or Training: At least 2 years of experience coordinating private grant contract compliance, including coordinating new applications and post-award activities.
Licenses/Certificates: Completion of Illinois 40-Hour Domestic Violence Training Certificate within 1 year of hire.
Technology/Equipment: Intermediate proficiency in Microsoft Office Suite with advanced proficiency in Microsoft Excel.
PREFERRED QUALIFICATIONS
Education: Bachelor’s degree with an emphasis on writing and research.
Experience and/or Training:
- At least 3 years of experience managing private grant compliance, including leading prospecting, overseeing the pre-award process, managing all post-award reporting and close-out activities, and ensuring the successful completion of funder audits.
- Experience researching and finding new public funding streams that result in new applications.
- Experience managing funder-required data systems, including ensuring proper data entry for reporting purposes and training others in supportive roles.
Technology/Equipment:
- Advanced proficiency with Microsoft Office Suite
- Intermediate proficiency with data analytics software (e.g., Salesforce)
- Intermediate proficiency with grants management and reporting systems
PHYSICAL AND MENTAL DEMANDS
