YWCA Lancaster is looking for a full-time Front Desk Administrative Assistant, who is an integral part of our team.
Starting pay rate: $16/hr.
Hours: 830am-530pm Monday-Friday
What your day looks like:
- Answers phones and outside visitors in a welcoming, positive manner. Communicates effectively.
- Transfers calls accurately to the extension or voicemail.
- Maintains the phones by clearing all voicemails and accurately addressing messages left for staff.
- Record receipts and payment vouchers accurately.
- Provides general program information to the public.
- Accepts donations following procedures.
- Processes daily mail.
- Follows opening/closing procedures assuring security for front desk area.
- Responsible for the Front Desk coverage schedule. Plans for coverage needs that may occur.
- Ensure that copies of necessary forms are kept updated and stocked.
- Responsible for maintaining office machines and equipment.
- Monthly copier readings, weekly copier calibration and coordinating recycling of toner cartridges.
- Assist the communication team with special events.
- Responsible for ordering office supplies and maintaining inventory of general office supplies for general administration.
- Responsible for ensuring that the copier room is neat, orderly, and free from clutter.
- Participate in at least one YWCA mission related activity annually.
- Responsible for creating and mailing thank you letters to all donors.
- Assist with Sales Force software, entering donor’s information and keeping software updated.
- Assist HR with New Hire Orientation set up.
- General knowledge of operating a credit card machine to be able to process resident payments or donations.
- Contacting Shred-It as needed to schedule pick up.
- Maintain and update employee contact list on SharePoint.
- Maintaining postage balance and maintenance of the postage machine.
- Create and maintain employee birthday and anniversary calendars in SharePoint.
- Performs other duties as required.
Who you are:
- Candidates must possess the desire and ability to embody the YWCA’s mission of eliminating racism and empowering women.
- Knowledge of general office procedures.
- Ability to communicate orally and in writing in English, using correct grammar, and spelling.
- Organized and detail oriented.
- Knowledge of word processing and spreadsheets and ability to use telephone.
- Ability to lift and carry up to 15 lbs. and make deliveries and pick-ups within a six-block radius.
- Bilingual English/Spanish is a plus.
- Experience with multi-line phones and excellent communication, customer service and math skills.
- Knowledge of general office procedures
- Experience with QuickBooks is a plus.
- High School Diploma is required.
