Job Summary
Zachry Construction Corporation is seeking a highly organized and detail-oriented Administrative Coordinator to support our IT Department. The ideal candidate will provide comprehensive administrative support, ensuring smooth operations and efficient workflows. This role requires strong communication, organizational, and problem-solving skills, along with the ability to handle multiple tasks in a fast-paced environment.
Essential Functions
- Provide administrative support to IT leadership and team members, to include calendar management, meeting coordination and the handling of correspondence.
- Serve as the primary point of contact for internal and external stakeholders, ensuring timely communication and follow-ups.
- Assist with budgeting and expense tracking for IT-related purchases, including processing invoices and managing purchase orders.
- Maintain and organize IT department records, reports, and documentation.
- Coordinate and schedule IT training sessions, team meetings, and departmental events.
- Prepare presentations, reports, and meeting materials as required.
- Support IT asset management, including inventory tracking and procurement coordination.
- Manage vendor relationships, contracts, and service agreements in collaboration with the IT team.
- Assist in drafting and distributing internal communication, policies, and updates related to IT initiatives.
- Handle confidential and sensitive information with discretion.
- Perform other administrative tasks assigned to support the IT team’s objectives.
- Schedule is normal business hours Monday - Friday 8:00 am - 5:00 pm.

Required Skills & Experience
- 5 years of experience in administrative support for multiple directors/managers, budgeting, expense tracking, and preparing presentations, reports, and meeting materials. Calendar management, meeting coordination, and cross-departmental collaboration.
- A high school diploma is required; a bachelor’s degree in business administration or a related field is preferred.
- Proficiency in Microsoft Office 365 (Teams, Excel, Word, PowerPoint, Outlook) and Adobe Acrobat.
- Self-motivated, detail-oriented, and able to work independently with minimal supervision.
- Strong problem-solving skills, ability to manage multiple projects under tight deadlines, and commitment to confidentiality and data security.
- Capable of operating in a fast-paced, evolving environment with a sense of urgency.
