POSITION: Administrative Assistant to Operations
BASIC FUNCTION: To be responsible for ensuring the smooth functioning of our manufacturing operations by providing administrative and clerical support to the operations manager. This role requires the ability to be highly organized and proactive.
QUALIFICATIONS:
The physical requirements that may be associated with this role are: Sitting for extended periods, typing and computer use, manual dexterity, phone use, lifting and carrying up to 25 pounds, standing and walking, walking up a staircase, riding on an elevator, repetitive motions, good vision and hearing, multitasking, professional appearance, stamina, adaptability, and safe workspace practices.
Some of these requirements may need to be performed in a manufacturing facility specifically a welding environment with hand tools, power tools, loud noises, bright lights, and fumes. Entering the manufacturing environment will require the use of specific personal protective equipment (PPE) including eye, ear, hand, and foot protection as well as long pants and shirts with sleeves.

- High School Diploma or Equivalent (associate degree or bachelor’s degree in business administration or related field preferred.)
- Proven experience as an administrative assistant or in a similar role.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal
- Attention to detail and accuracy.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills.
- A proactive and team-orientated attitude.
- Maintain flexibility in meeting job responsibilities.
- Exhibit ability to be self-motivated and work independently.

- Assist in the preparation, organization, and distribution of reports, documents, and presentations.
- Maintain and organize departmental files, records, and databases.
- Manage departmental calendars and schedule meetings, appointments, and travel arrangements.
- Handle incoming calls, and emails directing inquiries to the appropriate team members.
- Assist in drafting, editing, and proofreading documents, including memos, emails, and reports.
- Act as a liaison between the operations team and other departments of the company
- Ensure efficient communication flow within the departments and with external stakeholders.
- Maintain a professional and positive demeanor in all interactions.
- Compile, analyze, and summarize data to create reports and presentations.
- Maintain accurate and up-to-date records of inventory, production, and other operational data.
- Assist in the preparation of operational budgets and expense reports.
- Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
- Ensure that meeting rooms are equipped with the necessary materials and technology.
- Monitor and order office supplies, equipment, and materials as needed.
- Provide general administrative support to the operations team as needed.
- Collaborate with other administrative staff to ensure the efficient functioning of the office.
- Willingness to travel
