We are seeking an experienced Office Manager to join our team. The ideal candidate will be responsible for overseeing the daily operations of the Port Washington office, ensuring their smooth running. Responsibilities
- Manage office activities and operations to ensure efficiency and compliance with the practice and insurance company policies.
- Handle administrative tasks such as scheduling and managing appointments, managing files, and handling correspondence for both the Port Washington and Staten Island locations. Perform general administrative tasks, including filing, faxing, maintaining the patient recall system, and scanning and uploading documents to patient charts.
- Greet patients, collect copays and outstanding balances, and ensure a smooth check-in and check-out process.
- Supervise office staff and provide guidance and support as needed.
- Oversee budgeting and financial management tasks, including insurance billing, insurance payments and remittances, and patient billing and payments.
- Enter and maintain accurate patient demographics in the EMR, verify insurance eligibility daily, and ensure patient records are up to date.
- Oversee human resources functions, including recruiting, onboarding, and employee relations.
- Maintain office supplies inventory and place orders when necessary.
- Utilize practice software or QuickBooks for financial record keeping.
- Ensure phone calls are answered professionally and promptly. Respond to incoming calls, providing information, answering questions, and booking appointments across both offices.
- File and organize documents in both physical and digital formats.
- Ensure insurance compliance is maintained.
- Obtain precertifications and authorizations for patient testing and treatment.
Requirements
- Proven experience in office management or a related role. Prior experience in a medical office or healthcare setting preferred.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent communication skills with a focus on phone etiquette and interpersonal skills.
- Proficiency in administrative tasks such as clerical work and file management as well as familiarity with Electronic Medical Record (EMR) systems and working with insurance companies.
- Knowledge of human resources practices is a plus.
- Job Type: Full-time preferred, part-time may be available.
- Pay: Will be determined based on experience. Range given is just an estimate.
