Job Summary
Zebulon Baptist Church, located in Zebulon, NC is seeking a part-time Administrative Office Assistant. The Administrative Assistant is to provide comprehensive administrative support to the Pastors and staff, and play a crucial role in managing the smooth operation of the church office. The Administrative assistant will facilitate effective verbal and written communication both internally and externally, and make sure publications and social media are up to date. This position requires exceptional organization and interpersonal skills, as well as the ability to handle sensitive information with care and confidentiality.
Administrative Responsibilities:
● Serve as the primary receptionist in the office. This involves answering and directing
calls and greeting all visitors to the office.
● Keep the master facilities calendar (Google Calendar) in the church office up to date and accurate. Share information with the C/P Assistant to put on the website and/or social media.
○ Keep and maintain a list of requests for use of facilities and bring requests for
review to the appropriate leadership.
○ Keep Policy and Procedure information up to date and share information with
those requesting to use facilities or vehicles.
○ Communicate regularly with the contracted Building Superintendent to ensure all
buildings are ready to be used when requested.
● Update our church management software (ACS) with new members, returning guests and current information for the congregation.
○ Responsible for updating Sunday School rolls (weekly) and make promotions
every August.
○ Maintain Leadership information (New Deacons and Chairpersons).
● Prepare and send memorial and honorarium acknowledgements.
● Oversee special assignments by keeping reservations, lists, etc. for the following but not limited to:
○ Wednesday Night Meal reservations
○ Senior Adult Ministry trip reservations
○ Deacon Banquet reservations
● Communicate the need for service to office equipment to the appropriate
representatives.
● Maintain inventory of office supplies and order when necessary.
● Assist ministers on staff with requests for reports on congregational information.
● Daily collect and distribute mail through the P.O. box at the Zebulon Post Office.
● Send out weekly email blasts for congregational information.
Communication Responsibilities:
● Create with ministerial staff input, weekly and monthly publications.
○ Weekly Bulletin
■ Add lyrics of hymns to Order of Worship on the ZBC website
○ Weekly Email Newsletter
○ Monthly Mailed Newsletter
○ Advent/Lent special publications
● Collaborate with Ministerial Staff to keep website information up to date.
○ Keep Vimeo up to date with current Sunday Morning Worship
○ Upload current newsletters and events to the website.
● Keep facilities/activities calendar current on website.
● Help ministers/ministries create Social Media presence on Facebook, Instagram, and
Threads
● Attend weekly staff meetings.
Proficiencies Required:
● Desktop Publishing using Publisher.
● ACS On Demand
● Google operating systems (Docs, Calendar, Drives)
● Social Media (Instagram, Facebook, Threads, Squarespace)
Job Type: Part-time
Pay: $22.00 per hour
Expected hours: 25 – 29 per week
