What are the responsibilities and job description for the Director of Transportation Secretary position at Zeeland Public Schools?
Zeeland Public Schools has a wonderful opportunity for a Director of Transportation Secretary working in our Transportation Department. The Secretary will assist the Director of Transportation with day-to-day operations to ensure efficient and effective transportation for the district’s students.
Responsibilities:
- Assist the Director of Transportation with day-to-day operations.
- Ensure continuity of operations in the absence of the director as it relates to providing sufficient drivers and insuring that all schedules are completed on time.
- Train new staff regarding office procedures.
- Maintain employee personnel records and DOT records confidentially.
- Assist the director in preparing and maintaining records and reports.
- Daily dispatching of bus drivers for extra trips and sports runs, as well as substitute drivers when needed. After-hours work or the ability to be “on call” may be required.
- Monitor and appropriately respond to all phone and bus radio calls in the absence of the Dispatch Assistant.
- Contact appropriate persons in the event of an accident, injury or bus breakdown when notification is received by phone or two-way radio.
- Maintain up-to-date lists or regular and substitute drivers, including phone numbers and email addresses.
- Maintain the Daily Staff Plan spreadsheet.
- Review bus driver timesheets for accuracy and completeness before sending them to the director for review.
- Receive vouchers, bills, invoices, etc. from department personnel and prepare necessary purchase orders using appropriate account codes and bill-paying procedures.
- Alter, reroute and rearrange Special Ed schedules and bus routes as directed, as well as keeping area school calendars on hand to ensure driver coverage.
- Arrange for bus driver physicals and quarterly drug testing.
- Assist director with weekly staff newsletter driver committee minutes, bid forms, and other projects as needed.
- Willing to fill in as a substitute bus driver as needed in emergencies.
Qualifications:
- Associates degree with related work experience preferred.
- Having a CDL or being willing to obtain one is preferred (ZPS provides the training).
- Must be able to communicate effectively with all persons coming in contact with the transportation department, such as parents, students, school personnel and the public.
- Must have adequate computer skills, capable of operating various office machines and be able to learn new tasks and skills. Must have working knowledge of Tyler Tech, Infinite Campus and Microsoft Office Applications (Excel and Word) as well as Google Docs, Sheets, and other related applications.
- The ability to work, be flexible under stress, and work independently to prioritize deadlines is required.
- Thorough knowledge of the district’s streets, address system, bus routes and all appropriate areas is preferred.
- Must demonstrate leadership qualities, have the ability to work well with others, and be able to train employees.
- Ability to listen to a concern and de-escalate a situation as needed.
Schedule:
- 40 hours/week, 52 weeks/year. Work hours may start with opening the office each morning and may also include some “after hours” time to help ensure driver coverage.
Compensation:
Range is from $17.47 - $20.43/hr. depending on years of relative work experience.
