This is more than a basic receptionist —you’ll play an essential role in ensuring that clients feel heard, supported, and cared for, even during moments of distress. Key Responsibilities
🔹 Client Experience & Care Coordination
Serve as the first point of contact for clients—with empathy, clarity, and professionalism.
Actively manage and de-escalate client concerns, complaints, and scheduling challenges with strong conflict resolution skills.
Act as a liaison between clinical staff and clients, ensuring seamless communication and clarity around appointments, a variety of challenges, or client needs.
Collaborate closely with therapists to support continuity of care and improve client satisfaction.
Provide high-touch service to support a welcoming, safe, and trauma-informed client experience.
🔹 Administrative Operations
- Manage the overall client care experience from intake calls, appointment scheduling, cancellations, transfer and discharge planning.
- Maintain accurate and confidential client records and support records requests in compliance with HIPAA.
- Support weekly/as needed administrative tasks such as processing and scanning mail, managing incoming and outgoing checks, etc.
- Assist with organizational operations, processes and procedures, task management oversight, and email management
🔹 Client Engagement & Communication
Support client experiences and provide clear communication around Zeeva’s process and values.
Help ensure clients feel supported throughout their care journey—especially during transitions or periods of high need.
Qualifications
✔️ Experience in a mental health or healthcare setting strongly preferred
✔️ Proven ability to handle client complaints and complex situations with empathy and professionalism
✔️ Outstanding conflict resolution, communication, and emotional intelligence skills
✔️ Familiarity with HIPAA and mental health confidentiality standards
✔️ Tech-savvy with EHRs and scheduling systems
✔️ Highly organized, calm under pressure, and a natural problem solver
✔️ Must pass a background check

📍 Location: Must live in or near Los Angeles (hybrid position)
💰 Pay Range: $22–$30/hour (depending on experience)
