Role Summary:

The Receptionist/ Administrative Assistant will perform various tasks and functions to ensure smooth office operations. Tasks include, but are not limited to, front desk and lobby management, answering phones, and greeting/serving visitors, as well as various general office administration duties.

Role Description:

  • Welcome clients and visitors, assist as needed, and serve refreshments
  • Answer phones, route calls, and deliver messages
  • Oversee daily office opening procedures
  • Process incoming and outgoing mail, deliveries, and courier services
  • Manage office and breakroom supplies; maintain related budgets
  • Coordinate delivery and setup of community lunches
  • Work with cleaning staff to ensure a clean and organized office environment
  • Maintain office operations and distribute building communications
  • Present a positive and professional image for the organization
  • Process and route sample development and billing (freight forwarder to China Office)
  • Review monthly statements from Freight Forwarder and China Office
  • Maintain WIP for routing and billing of samples
  • Enter daily detailed packing lists (DPLs) in ERP for samples and bulk shipments
  • Process paperwork for sample product development yardages before delivery to customers
  • Communicate professionally with internal and external parties


Requirements

Key Qualifications:

  • Experience in customer service
  • Superior organizational and communication skills
  • Strong attention to detail
  • Ability to thrive in a fast-paced environment
  • Capable of multitasking and meeting deadlines
  • Proficient in Excel and various data management systems
