Job Brief
A new position to our Client Contact Team - The Medical Registrar/Scheduler is a mid-level business office role. This staff member ensures that our healthcare services are coordinated efficiently and that patients receive the necessary care at the most appropriate time. This starts with on-boarding of clients who have primary care referrals for our services. The registrar/scheduler makes and receives verbal contact to take client vital information: personal information, primary care information, and insurance information. Once this is complete, a schedule for initial evaluation is arranged.
Because there may be situations where all therapy services offered (OT, PT, ST, and Psych) are sought, we are seeking an experienced Medical Registrar/Scheduler who is able to manage clinical schedules of up to fifteen (15) providers at a time.
Responsibilities
- Handle incoming phone calls and other communications, responding promptly to queries and requests.
- Onboard new patients quickly, efficiently, and meticulously;
- Verify patient insurance coverage, and work with the revenue team to process accurate billing information.
- Coordinate and Schedule patient appointments and procedures of multiple therapy services.
- Update and maintain accurate patient records in EMR.
- Communicate with patients regarding their appointments and any necessary preparations they may need to make.
- Ensure compliancewith healthcare laws, regulations, and standards.
- Provide administrative supportas necessary.
Qualifications
- Proven work experience as a Medical Scheduler, min. three years experience;
- Knowledge of medical terminologies and insurance protocols;
- Experience with medical software systems and Microsoft 365;
- Excellent organizational and multitasking abilities, and have a keen eye for details;
- Outstanding communication skills, both written and verbal;
- Min. of High School diploma;
- Certification in medical administration is a plus.
