Job Description:
The Executive Admin Assistant will be accountable for provide superior administrative support to Zep Executive team. This role involves working closely with Board of Directors, Zep’s Executive Teams and leadership to handle various tasks and activities to streamline their work, improve communication and support Board and CEO needs. This role will provide personalized assistance, urgent issue research and response, key contact maintenance, effective communication and smooth operations of Zep’s headquarters office. The responsibilities of this role include Board meeting & communication setup, maintenance, travel and on-site support for quarterly and ad hoc meetings, headquarters office management, large event / team meeting management; executive support to manage schedules, travel, correspondence and expense reports. The ideal candidate is confident , proactive, detail-oriented, service mindset, maintains confidentiality and possesses exceptional organizational and communication skills. The Executive Admin Assistant will report to the Chief Administrative Officer in our Atlanta, GA headquarters office.
Responsibilities:
  • Act as the point of contact between the executives and internal/external clients, Board and executive team
  • Handle all Board members travel, transportation, payment and on-site logistics
  • Coordinate with Board members administrative assistant/team regarding timing, logistics and other questions
  • Serve as the Headquarters office manager including office maintenance, office routines, supplies, equipment repair and general activities to maintain clean, well organized office
  • Maintain CEO and C-Suite schedules, arrange Board and ELT meetings and provide reminders
  • Lead planning and logistics for large on-site HQ meetings for ELT (ex AFCO sales leadership, Retail Customer meeting) including welcome signs, room setup, food and beverage needs and ad hoc requests
  • Make travel arrangements and complete expense reports for ELT
  • Monitor office supplies and research advantageous deals or suppliers
  • Undertake the tasks of receiving mail, calls & packages, research messages and route and deliver mail, packages and correspondence
  • Handle requests and queries appropriately
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system
  • Serve on Safety Committee for drills and evacuations
  • Coordinate with Property Management on office issues (need to discuss property communications to HQ employees)
Qualifications:
  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office
  • Proficiency in English
  • Exemplary planning and time management skills
  • Maintain and keep skills up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality
  • Highly service and execution oriented
  • 10 years experience supporting senior leadership roles
  • High School degree; degree in Business Management, or related field would be advantageous
