Ziegler Gardner Bell is a dynamic Dallas-based law firm representing the design, construction, real estate, transportation and skilled nursing industries. Clients include international and regional architecture, engineering, and land surveying firms; leading heavy civil contractors; single and multi-family real estate developers; skilled nursing facilities; and trucking companies and drivers located in Texas and throughout the United States.

We are looking for a Professional Legal Administrator. This is an executive-level position responsible for a wide range of activities in all phases of administration, personnel, finances, facilities, and business systems. The successful applicant will have experience managing a team of more than 10 people and should have experience managing a budget of more than $5,000,000.

Our Legal Administrator will be responsible for planning and managing the day-to-day operations of the Firm, and for implementing Firm policies and procedures under the general guidance and supervision of the owners.

Key Responsibilities :

Personnel Management :

  • Oversee full cycle recruitment, hiring, and onboarding activities.
  • Manage employee benefits, retirement plans, payroll, and compensation processes.
  • Partner with firm leadership to oversee performance reviews, facilitate disciplinary conversations, and implement performance improvement plans.
  • Promote a positive and inclusive firm culture through active engagement with team members.
  • Oversee learning management, training, and the firm mentorship program.
  • Ensure compliance with all legal and regulatory requirements and update internal materials accordingly.
  • Develop, implement, and document internal and external HR best practices, policies, and procedures.
  • Plan firm social events and coordinate scheduling and logistics.

Operations :

  • Oversee suite maintenance, security, and vendor relationships.
  • Lead risk management processes related to firm operations, including insurance renewals and risk management policies and procedures.
  • Monitor KPIs and prepare reports for managing partners.
  • Oversee the monthly billing process, including conflict checks, opening new matters and client budget tracking.
  • Coordinate any updates to website.
  • Other responsibilities and projects as assigned.
  • Education and Experience :

  • Bachelor’s degree required.
  • Professional services or law firm experience required.
  • At least 5-7 years of experience in a leadership role with multiple direct reports.
  • Excellent writing and verbal communication skills.
  • Outstanding organizational skills and attention to detail.
  • Proficiency in Microsoft Office suite (Word, Outlook, Excel), practice management software (Coyote), and DMS systems (NetDocs).
  • Ability to work as a team player in a fast-paced environment.
  • Strong problem-solving skills and ability to handle confidential information with discretion.
  • Work Environment :

    This position is based in the firm’s Dallas, Texas office.

    Salary Range : $100,000 - $125,000 annually, depending on experience, plus discretionary bonus.
