Role Description
This role involves leading financial management processes, including budget forecasting, procurement, and vendor management, to ensure operational efficiency and compliance. The Head of Medical Operations will support the development, execution, and review of medical strategies, and enhance operational plans. Additionally, the role includes optimizing communication channels across departments and markets, managing key meetings, and providing comprehensive support to the Medical Affairs team. The ideal candidate will have a strong background in project coordination, financial management, and strategic execution within the healthcare or life sciences sectors.
Responsibilities:
Financial Management
- Lead budget forecasting, planning, and reviewing processes to ensure accurate financial projections and effective resource allocation, collaborating with Finance and relevant stakeholders.
- Oversee dashboards and drive the development of dashboards where needed
- Oversee procurement processes, manage payments and invoice tracking, and ensure effective vendor management, including contract negotiation and financial transactions, to support operational efficiency and compliance.
Medical Strategy
- Facilitate the development of operational plans with the GMA LT and assist in the implementation and evaluation of strategic initiatives.
- Collaborate with GMA leadership to analyze emerging industry trends, go-to-market strategies, innovation opportunities, and opportunities for process improvement.
- Support the GMA team in translating key project deliverables and strategic program imperatives into seamless execution.
Operational Efficiency and Support
- Provide high-level support in decision-making processes for ongoing operational matters and larger projects.
- Coordinate the development and maintenance of departmental SOPs.
- Coordinate legal approval for new contracts (KOLs, study sites, contractors)
- Identify inefficiencies in current operations and implement solutions.
- Partner with internal GMA colleagues to evaluate and communicate program and platform metrics.
- Resolve escalated issues arising from operations requiring coordination with other departments.
- Support the hiring processes and onboarding of new colleagues.
- Provide general support across all Medical Affairs functions.
- Stay abreast of major business developments, organizational changes, and initiatives undertaken by the commercial business that can impact GMA.
- Collaborate with teams to identify and implement optimal communication modalities between departments, markets, and specific groups in the corporation.
- Develop and maintain effective communication channels to ensure seamless information flow and alignment across the organization.
- Work with colleagues to create and refine communications content that supports strategic initiatives and enhances stakeholder engagement.
Meeting and Coordination Management
- Organize and manage deliverables for GMA leadership meetings, major team meetings (in-person and virtual), and medical town halls.
- Including scheduling and coordinating meeting materials such as pre-reads/handouts and slides, capturing meeting minutes, and action item follow-up as required.
- Facilitation of logistics for on-site and off-site meetings
Organizational Relationships
- All members of the GMA LT and their teams
- Members of operations and finance teams of other parts of the organization, medical leaders from major markets,
Qualifications
Education and Experience Requirements
- Bachelor's degree in a related field such as business management or business administration.
- 5 years of project coordination, business analysis, project management experience, and strategy execution in healthcare, life sciences, or a medical affairs environment.
- Proven experience in budget forecasting, planning, and reviewing, as well as overseeing procurement, payments, invoice management, and vendor relations
- Project Management Professional (PMP) certification or equivalent is desired.
Skills and Capabilities
- Demonstrated project management experience using computer applications and collaboration skills (e.g., working with cross-functional teams, managing vendors, managing outside collaborators).
- Ability to work collaboratively in cross-functional teams, align with and influence internal and external stakeholders, and build/manage relationships at all levels of an organization.
- Ability to proactively identify issues, prioritize tasks, manage, and track multiple projects with the ability to take initiative with a solutions-oriented approach.
- Strong analytical thinking, problem-solving skills, business acumen, and attention to detail.
- Exceptional verbal, written, presentation, interpersonal, and communication skills in English, with the ability to adapt communications based on the recipient. Proficiency in additional languages an asset.
- Thrive in a fast-paced environment with a global mindset to effectively navigate diverse cultures and markets.
- Knowledge of medical affairs activities such as medical strategy and management, medical education programs, grants and sponsorships, publications, medical congresses, scientific study management, and relationship management with key opinion leaders is a plus.
- Proficient computer skills in MS Office Suite, with expertise in Microsoft Excel; experience with or ability to quickly learn SAP, Ariba, Power BI, Asana, and other applications used in Zoetis.

- Ability and willingness to work flexible hours to accommodate the schedules of global colleagues.
- Ability and willingness to travel (national/international) approximately 10% of the time, including some weekends. Reasonable proximity to an airport.
- Valid passport and active driver's license.
