Position Overview:
 
As the Payroll Manager- North America , you will be responsible for overseeing the timely and accurate payroll processing, payroll tax reporting/payment, employee garnishment administration, expense reporting process/audit/payment and commission calculation/processing for North America (including Zones, ZCAD and nfrastructure).  The position will oversee the quality and timeliness of the daily team output and ensure the professional development of the roles that report to it.  This position will be the SME for Saas systems as follows:  the applicable HRIS system (currently ADP), expense reporting system (currently Concur) and the sales commission tool (currently Xactly).  In support of processing payroll (including expense reports and commissions), you will proactively engage cross-functionally to ensure all transactions are received and processed timely. You will also support the Payroll team on standard operating procedures and best practices.
This role is required to be onsite at the HQ1 minimum 2 days per week - specifically Tuesday and Thursday.

  • Ensure the team performs accurate/timely processing of periodic payroll through systematic processes
  • Ensure the team performs accurate processing and audit of employee expense reports
  • Ensure the team performs the accurate processing/payment of commissions. Partner with the Financial Analyst to ensure the timely audit of commissionable margin and commissions calculation.
  • Ensure the accurate/timely processing of all payroll tax requirements (including payment via ADP).
  • Ensure the accurate/timely processing of employee garnishments in accordance with instructions.
  • Timely and accurate payroll and commission reporting as assigned. Oversee the timely audit of commissions calculation and ensure adjustments are reflected in Xactly timely and accurately.
Critical processes this individual will undertake to achieve targeted results:
 
  • Ensure the team performs accurate/timely processing of periodic payroll through systematic processes
  • Ensure that payroll processing is accurate and that all payroll is deposited/checks cut in accordance with payroll deadlines
  • Partner cross functionally with internal/external teams to ensure that communication flows for employee payroll changes timely. Facilitate with those teams when issues occur and take the lead on resolution
  • Function as the ADP payroll SME for all systematic updates/revisions that occur. This includes proactively partnering cross functionally with internal teams such as HR and the Senior Manager, Financial Applications as well as ADP technical/business process support. Own the payroll ADP case process for Finance to ensure that issues are addressed by ADP timely.
  • Finance Partner to HR for coordination of global payroll system implementations, including vendor selection, project planning, and system configuration.
  • Ensure the team performs accurate processing and audit of employee expense reports
  • Oversee the periodic employee expense report audit process for compliance with corporate policies.
  • Facilitate expense report “exceptions” that arise and manage the escalation process with Finance management for resolution.
  • Function as the Expense Report tool admin/functional SME for Zones. Partner with the vendor for vetting of enhancements, process changes and renewals.  Partner with the Senior Manager, Financial Applications to proactively add efficiencies.
  • Partner cross functionally on ensuring that the Corporate Expense Report policy is updated for relevant changes to the business and published for easy use by users.
  • Ensure the team performs the accurate processing/payment of commissions. Partner cross functionally to ensure the timely audit of commissionable margin.
  • Ensure that sales commissions are calculated in Xactly based on accurate commissionable margin sales data and in accordance with commission plans in effect
  • Partner with the team who performs the review/audit of sales order commissionable margin. Ensure that all adjustments are reflected in the commission calculation to ensure quality.
  • Function as the functional SME for the Xactly commission system and partner cross functionally with others on commission plan setup, testing, plan changes, etc. so that the system is up to date and reflects accurate information to users. As the functional SME monitor for system updates/enhancements that can be configured/implemented so as to improve the transparency or efficiencies of processes.
  • Ensure the accurate/timely processing of all payroll tax requirements (including payment via ADP).
  • Ensure the accurate/timely processing of employee garnishments in accordance with instructions.
  • Partner with ADP to ensure that all payroll tax filings are completed timely and accurately.
  • Own the process of ensuring that Zones has filed all required documentation for the applicable states – i.e., new tax enrollments in states when employees are hired there for the first time
  • Manage the administration of employee garnishments in accordance with instructions.
  • Oversee the annual W2 process to ensure all deadlines (both for employee notification and IRS filings) are met timely and accurately
  • Timely and accurate payroll and commission reporting as assigned.
  • Facilitate training for newly implemented system and process enhancements.
  • Identify issues and gaps in the process and introduce process improvements.
  • Manage reporting process
  • Provide periodic audit support and research for leadership.
Key metrics that will measure and define success for this role:
 
  • Timely and accurate calculation and payment of payroll including commissions and incentives
  • Expense reporting processing and audit performed in compliance with Zones expense report policies.
  • Timely and accurate sales commission calculations which include plan setup/revisions and accurate commissionable margin data feeds.
  • Timely and accurate payroll tax filings/remittance in accordance with federal, state and local taxing authorities.
What you will bring to the team:
 
Education:
  • Bachelor’s degree, preferred
  • Associates degree or comparable education background required (accounting, business preferred) 
Required Experience:
 
  • 5 years required of managerial experience in Payroll in a company located in more than 40 states
  • 10 years required Payroll processing experience in a high-volume environment with in excess of 1,000 employees
  • Experience working within a Saas HRIS payroll processing system (experience with ADP a plus) and advanced computer skills in Microsoft Office (Excel, Word, Access etc.). 
  • 5 ears’ experience processing sales commissions calculations in a high-volume sales transaction environment and within a Saas commission system
  • Experience processing payroll for Canadian employees preferred
  • Proactive supervision – coaches in the moment so as to achieve production goals while being respectful of others performance/development.  Supervises as a mentor/coach - holds the team accountable for outcomes
  • Thrives in a multi-tasking environment. Detail oriented with excellent organizational skills.
  • Excellent critical thinking skills
  • Process improvement mentality (which can include background in lean, six sigma, etc.)
  • Ability to meet strict deadlines.
  • Must be a self-starter with a “can do attitude” and an ability to work individually and with others to achieve department goals. Excellent interpersonal skills and thrives in a team-oriented environment. 
Certifications/Licenses/Etc:
 
  • CPP – Certified Payroll Professional – preferred
Qualified candidates can expect a salary range of $120,000 - $150,000 Bonus.
