Are you ready to join a dynamic, innovative team? Zywave is looking for an enthusiastic and detail-oriented Office Manager to join at our Milwaukee headquarters. As the backbone of our office operations, you'll play a crucial role in fostering a positive and productive work environment.
What you will do:
- Perform general administrative tasks for the entire company.
- Greet incoming guests, maintain reception area, review and forward voicemail messages.
- Coordinate incoming and outgoing mail including express mail services, such as UPS, etc. Maintain postage meter.
- Maintain an adequate inventory of supplies. Order office supplies and maintain stock in supply room.
- Assist with new hire preparation, including scheduling basic onboarding sessions, ordering business cards, setting up workstations, etc.
- Perform other general clerical duties to include but not limited to: data entry, photocopying, scanning, collating, and binding.
- Maintain confidentiality regarding employee or company information.
- Coordination of occasional team lunches, maintain kitchenette areas and place service tickets for facility issues.
- Coordination of seasonal maintenance; place service calls as needed.
- Perform your job in such a manner that other employees will consider it a pleasure and privilege to work with you.
- Keep current on computer updates that will make duties more efficient.
- Willing to perform other tasks on projects as needed/assigned.
What you should bring:
- High school diploma or equivalent plus at least one year of experience in an administrative capacity supporting multiple departments in a fast-paced environment.
- Proven ability to complete tasks of a highly technical nature required. Intermediate knowledge of MS Office (Word, Excel and PowerPoint) required.
- Ability to be organized, multi-task and able to juggle multiple priorities in a time-sensitive environment.
- Experience setting up meetings/events and running reports in WebEx desirable.
- Outgoing personality, self-motivated and desire to excel.
- Professionally assertive and ability to work independently.
- Excellent communication skills and courteous telephone manners are essential.
