Wages and Benefits

$20 - $21.50 per hour; Earned Sick and Safe Time (ESST), agency-sponsored retirement plan with immediate vesting, plus a 3% employer match.

Schedule

This position operates mostly within business hours, with a monthly evening board meeting. Hours should be mostly consistent but are negotiable depending on applicant's schedule.

A Typical Day in the Life…

A typical day as FamilyWise’s Administrative Assistant provides an opportunity to support the senior leadership team and serve as the administrative support for general agency needs, and will include the following:

Senior Leadership Support

  • Managing the agency calendar, including scheduling and preparing for meetings.
  • Supporting the CEO with correspondence, filing, and project management.
  • Preparing donor acknowledgment letters and updating the donor database.
  • Maintaining an up-to-date inventory of office supplies, forms, and maintenance supplies. Ordering supplies as necessary.
  • Maintaining office equipment and arranging necessary maintenance and repair.
  • Preparing and tracking certification for training institute activities.

Board of Directors Support

  • Working with the CEO in the management and preparation of Board activities, including scheduling, preparing materials, managing meeting logistics, and recording meeting minutes.
  • Maintaining discretion and confidentiality in relationships with all board members.
  • Adhering to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including the advance distribution of materials before meetings in electronic/paper format.

General Administrative Support

  • Answering phones in a professional, timely manner and routing messages.
  • Welcoming visitors and directing them to the appropriate individual or department.
  • Responding to and referring requests for information.
  • Ensuring incoming and outgoing mail is properly directed.
  • Performing daily maintenance of the coffee area, administrative work area, and reception area.

Who You Are

  • You have an associate's degree in a relevant field or demonstrably equivalent knowledge gained through alternative courses of study and life experience.
  • You have a minimum of two years of work experience in administrative support.
  • You possess knowledge of the human services nonprofit sector, with experience working in a nonprofit setting preferred.
  • You are committed to the values of integrity, initiative, and flexibility regarding the information this role has access to and the need to adjust according to agency needs.
  • You have strong organizational skills, attention to detail, and the ability to organize ideas, materials, and workflow.
  • You have strong communication skills, demonstrating professionalism in writing and interpersonal relationship-building skills.
  • You can work in diverse environments and achieve results both individually and when working with others.
  • You have the ability and willingness to assist coworkers, supervisors, and clients in a cooperative, solutions-oriented manner.
  • You are committed to racial equity, shared leadership, civic engagement, and building the capacity of communities.
  • You are proficient in Microsoft Word, Excel, Access, and PowerPoint and can quickly adapt to new equipment and technology.
  • You have the ability to travel as needed within the metro area and occasionally to greater Minnesota.
  • You have a valid driver’s license, access to reliable transportation, and the ability to meet FamilyWise’s driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit (not applicable for new hires living out of state).
