CORE GOALS AND RESPONSIBILITIES OF THE JOB

The part-time Administrative Assistant will work directly with the Director of Advancement & Engagement to provide administrative support to both the Director of Advancement & Engagement and the general operations of the Advancement & Engagement Office. Assisting with both day-to-day office activities as well as occasional events, some on evenings and weekends. The part-time Administrative Assistant needs to be someone who is detail-oriented, organized, able to work in a fast-paced environment, and comfortable interacting with a variety of personalities.

  • Provides administrative support to the Director of Advancement & Engagement, answering phones, scheduling meetings, welcoming guests, maintaining office supplies, printing and filing materials, creating meeting materials including agendas, handouts, and minutes for all Development meetings, and assisting with office-wide editing projects – including donor lists, direct mail appeals, reports and more.

  • Works closely with the Donor Systems Coordinator to provide support on data entry, gift processing, and gift acknowledgment. input information from returned mail – research new addresses or marking records for invalid addresses

  • Working with the Director of Advancement & Engagement helping to coordinate the processing of monthly credit card receipts and expense reimbursements. Providing proper expense coding to the Business Office and helping to provide oversight to proper allocation of expenses. 

  • Works with the Director of Special Events to assist with event needs including, but not limited to, guest lists, RSVP collection and recording, creation of nametags, guest check-in, including all Development Special Events (occasionally on weekends or evenings)

  • Works with Donor Systems Coordinator in summer months assisting with the conversion of recent graduates to alumni and inputting information on new students and families.

COLLABORATIONS & REPORTING STRUCTURE

 The administrative assistant will work closely with and report directly to the Director of Advancement and Engagement. The Administrative assistant will support the efforts of the entire Advancement team.


WHAT WE ARE LOOKING FOR 

  • Experience working in a fast-paced office setting preferred, strong math and computer competency required

  • Experience working with expense reports preferred

  • Experience in data management or related activity with proven accuracy and efficiency preferred

  • Microsoft Office proficiency with an emphasis in Word, Excel, and Google and competency in mail merges preferred

  • Demonstrated ability to use good judgment to handle confidential information sensitively

  • Ability to work on multiple projects simultaneously, prioritize and meet deadlines
