Position Title: Leasing Assistant

Location: Watsonville, CA

Working Hours: 9:00 AM – 5:00 PM, Monday to Friday

Responsibilities:

• Contacting applicants, conducting intake interviews, and compiling 'Move-In' files for review.

• Phone and Front Desk Management: answer phones courteously and efficiently.

• Greet applicants, residents, and vendors warmly and professionally.

• Marketing Support: assist Community Manager and/or Leasing Director in marketing efforts, including mailing marketing materials and tracking marketing initiatives.

• Tenant Interaction: meet with prospective tenants, provide tours of available units, and address inquiries.

• Accept rental applications, ensuring completeness and legibility.

• Assist in entering pre-applications into the waitlist software system.

• Waitlist Management: initiate calls to waitlisted applicants for vacant units, tracking all responses.

• Assist in scheduling certification appointments and process applicant files for approval.

• Application Processing: initiate background screening and approval processes for rental applications.

• Receive and complete resident work orders, maintaining a detailed Work Order Logbook.

• Prepare and deliver general notices under the supervision of the Community Manager.

• Collect rent payments and security deposits, ensuring accuracy and compliance.

• Organize and store all relevant documentation in resident files.

• Coordinate resident social functions and communications, fostering a sense of community.

• Perform any other job duties as required by the Community Manager or Leasing Director.

Abilities:

• Requires excellent communication skills, attention to detail, and the ability to multitask effectively.

• Ability to demonstrate professionalism, customer service orientation, and a commitment to maintaining confidentiality in handling resident information.

• Skill to prioritize tasks, manage workload efficiently, and meet deadlines while attending to customer needs promptly.

• Flexibility to adjust to changing circumstances, customer preferences, and company policies or procedures.

• Proficiency in using Microsoft Office software and systems for tasks such as data entry, email communication, and document preparation.

• Capability to handle conflicts or disagreements professionally and diplomatically, aiming for mutually satisfactory resolutions.

• Ability to maintain a positive attitude and persevere through challenges or setbacks, focusing on achieving customer satisfaction.

• Awareness of and respect for diverse cultural backgrounds and customs, ensuring inclusive and respectful interactions with customers from various demographics.
