As we grow, we seek a highly organized and proactive Project Management Virtual Assistant to support us in managing daily operations, communication, and strategic projects.


Role Overview

We are looking for a detail-oriented, resourceful, and tech-savvy Project Management Virtual Assistant to provide high-level administrative and operational support. This is a remote position, ideal for someone who is highly efficient, open to feedback, and experienced in supporting executives in a fast-paced, dynamic environment.


💡 Future Travel Opportunity: In the medium to long term, this role may require international travel to assist with events.


Key Responsibilities:


🔹 Calendar & Schedule Management

  • Organize and manage team calendars, including scheduling meetings, calls, and events.
  • Proactively resolve scheduling conflicts and prioritize tasks for efficient time management.
  • Coordinate seamlessly with internal teams and external collaborators.


🔹 Communication & Correspondence

  • Manage shared inboxes, filter inquiries, and draft professional responses when needed.
  • Support the team in maintaining timely, clear communication with clients and partners.
  • Assist in preparing presentations, documents, and reports.


🔹 Project & Operations Support

  • Monitor timelines, deliverables, and progress of ongoing projects.
  • Conduct research on relevant topics, including trends and potential collaborations.
  • Support the planning and execution of events, retreats, and training programs.


🔹 Event & Travel Coordination

  • Provide logistical support for InnerCamp’s onsite events and retreats.
  • Coordinate travel and accommodation details for team members and facilitators.
  • Optionally, travel internationally to assist with onsite operations and workshop facilitation.


🔹 Stakeholder Coordination

  • Act as a liaison between team members, clients, and external partners.
  • Schedule and facilitate virtual meetings, take clear notes, and track action items.
  • Ensure follow-through on communications and deliverables.


🔹 Administrative & Tech Support

  • Maintain digital files, documents, and team databases in an organized manner.
  • Assist with various administrative tasks and offer basic tech support as needed.
  • Recommend tools and streamline processes to improve team efficiency.


Who You Are


✔️ Highly organized, proactive, detail-oriented, and open to feedback.

✔️ Strong written and verbal communication skills.

✔️ Tech-savvy with experience using project management and communication tools (e.g., Asana, Slack, Google Workspace).

✔️ Comfortable with eventual international travel and adaptable to different environments.

✔️ Ability to handle confidential information with discretion.

✔️ Independent, resourceful, and capable of problem-solving.

✔️ Passionate about holistic well-being, personal development, or InnerCamp’s mission (a plus!).


Requirements


🔹 Experience: 3 years as a Virtual Assistant, Project Manager or in a similar role supporting senior leadership.

🔹 Tech Skills: Proficiency in digital tools such as Google Workspace, Zoom, Notion, Asana, Slack, and email management software.

🔹 Time Commitment: Approximately 30 hours per week, with flexibility in scheduling.

🔹 Travel Flexibility: Willingness to travel internationally for events as the role evolves.

🔹 Remote Work: Ability to work independently in a virtual environment.
