Job Summary:
We are looking for a detail-oriented and proactive Administrative and Operations Executive to support our daily operations. The ideal candidate should be independent, reliable, and able to thrive in a fast-paced environment. This position is open to Singaporean citizens and Permanent Residents only.
Key Responsibilities:
Order Management
Consolidate and acknowledge receipt of customer orders.
Prepare and issue invoices, delivery orders, and consignment notes for each order.
Assist in updating the product portfolio, ensuring accurate and up-to-date information.
Help manage and monitor online sales channels, ensuring products are listed correctly and promotions are updated.
Document Management
Organize and file all documents systematically for quick and easy retrieval.
Ensure proper documentation of all orders, deliveries, and transactions.
Logistics Coordination
Coordinate delivery schedules with drivers and customers to ensure timely shipments.
Verify stock availability and inspect items before they are loaded onto delivery vehicles.
Inventory Support
Assist the Storekeeper with periodic stock counts to ensure accurate inventory records.
Manage and issue stock transfers as required, ensuring proper tracking and documentation.
Communication
Answer phone calls and greet visitors in a professional manner.
Respond promptly to customer inquiries via email and SMS.
Provide clear and efficient communication with customers, suppliers, and team members.
Reception Duties
Act as the first point of contact for visitors, providing a welcoming and professional reception experience.
Direct visitors to the appropriate person or department as needed.
Office Supplies Management
Monitor and maintain the department’s office supplies to ensure availability and avoid shortages.
Place orders for new supplies as needed and keep track of inventory.
Assist in updating the product portfolio, ensuring accurate and up-to-date information.
Help manage and monitor online sales channels, ensuring products are listed correctly and promotions are updated.
Requirements:
Detail-oriented with strong organizational skills.
Good communication skills, both written and verbal.
Proficient in MS Word, Excel, and PowerPoint.
Able to work well in a team and independently.
