The Office of Admissions (OAM) oversees full-time undergraduate admissions, scholarships and financial aid. Reporting to the Provost's Office, OAM develops and implements policies and operations related to undergraduate admission, award and administration of scholarships and financial aid, and markets the university's undergraduate degree programmes.
We are looking for a dedicated and detail-oriented professional to support the administration of university scholarships and financial aid. This role requires strong analytical and stakeholder management skills and a proactive approach to improving processes and systems.
Key Responsibilities
Scholarship Administration
Administer the full cycle of scholarship renewals, suspensions, and terminations, ensuring strict adherence to university policies and procedures.
Work closely with Faculties/Schools, and donors to verify the scholars’ academic standing, performance, and compliance with scholarship agreements.
Handle disbursement of scholarship funds to eligible students, ensuring accuracy and timeliness in fund allocation.
Maintain comprehensive and accurate records of scholarship renewals, and disbursements, ensuring all information is up-to-date.
Serve as the primary point of contact for scholarship recipients, addressing enquiries and handling appeals related to scholarship status, renewals, or funding disbursements
Handle the issuance of status letters for graduated scholars.
Conduct informative briefing for graduating scholars
Assist in the development and implementation of an IT system to digitise scholarship administration.
Scholarship Bond Management
Support the administration of the scholarship service bond scheme, including processing bond fulfilment applications for graduated scholars, ensuring full compliance with bond agreements.
Manage bond deferment cases.
Opportunity Enhancement Grant Management
Process the application for Opportunity Enhancement Grant for short-term overseas programmes.
Serve as the primary liaison with the Office of Finance and Global Relations Office to ensure timely disbursement of funds.
Other Responsibilities
Analyse and enhance processes to drive operational efficiency
Prepare budget projections and grant claims
Provide guidance and supervision to team members and other stakeholders
Participate in outreach events and activities
Undertake any other tasks or responsibilities as assigned by the supervisor
Qualifications
A recognised Bachelor's degree in any discipline
Experience in scholarship and grant management is preferred.
Pro-active, quality-conscious, and results-oriented.
Excellent organisational, analytical, and communication skills.
Ability to manage multiple tasks and be attentive to details
Able to work independently and in a team to deliver results under tight timelines.
Proficient in Microsoft Office particularly Excel and PowerPoint.
