Job Summary
As a Property Executive, you will be responsible for managing the day-to-day operations of our commercial properties, ensuring high-quality service delivery, maintaining excellent tenant relationships, and overseeing all aspects of property maintenance and safety. You will play a key role in budget management, compliance with regulations, and implementing strategies to maximize property value and tenant satisfaction.
Key Responsibilities
1. Property Management and Maintenance
- Oversee daily operational activities of assigned commercial properties
- Conduct regular inspections of all areas (common areas, public walkways, external facades)
- Ensure high standards of maintenance for both interior and exterior of buildings
- Manage and review work carried out by contractors, ensuring compliance with specifications and statutory requirements
- Prepare estimates for repair work, create work specifications, and supervise executed works
2. Health, Safety, and Compliance
- Manage fire protection and security systems
- Ensure compliance with all health and safety regulations, environmental standards, and company procedures
- Supervise regular fire and evacuation drills
- Perform and follow up on health and safety audits within set timelines
3. Financial Management
- Assist in drafting, monitoring, and reporting on budgets and expenditures
- Ensure adherence to budgets while maintaining service quality
- Produce timely and accurate management reports
4. Tenant Relations
- Develop and maintain excellent relationships with tenants and stakeholders
- Attend tenant and council meetings as required
- Address and resolve tenant complaints efficiently
- Ensure high standards of customer service
5. Team and Contractor Management
- Oversee on-site personnel and external contractors
- Ensure all team members are adequately trained for their roles
- Conduct regular performance reviews and appraisals
- Liaise with local authorities and other relevant parties as needed
6. Project Management
- Oversee and manage major work programs on site
- Act as the main point of contact for all involved parties
- Ensure projects are completed on time, within budget, and to required standards
7. Qualifications and Experience
- Diploma or Degree in Estate Management, Building Services, Engineering (Mechanical or Electrical), or equivalent
- Minimum 3-5 years of experience in facility, property, or operations management
- Registered Fire Safety Manager (FSM) with at least 3 years of practice
- Strong knowledge of BMSMA laws related to multi-Tier MCST
- Experience in M&E and facilities management of high-end commercial or mixed-use developments
- Excellent technical knowledge of premises management
- Proficiency in relevant software and technologies used in property management
