Job Description
POSITION SUMMARY
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant/Office manager is expected to work independently from conception to completion for small to big team events and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Job responsibilities
Executive Assistant Responsibilities
- Handle confidential, highly sensitive, urgent materials and information in a dynamic, fast-paced work environment
- Manage, organize, coordinate and maintain Sr. Director’s calendars, and travel arrangements (ability to prioritize and manage multiple hectic calendars along with coordinating extensive international travel is a must)
- Create and manage detailed agenda for senior management visit to market (i.e. when senior
management is coming arrange all meetings and lunch/dinner reservations)
- Oversee and maintain all Sr. Director’s expense reports
- Maintain department organization charts and contact lists
- Provide general administrative support to each of the teams that you support
- Partner with peers to plan and execute employee events ranging from small-scale events like group luncheon, birthday celebrations to big events like kick-off meeting, DEI events
- Coordinate and follow-up on special projects as assigned
- Build strong and effective partnerships with LVMH peers and key partners such as IT, facilities, and 3rd party vendors
- Collaborates well with other EAs across other regions to provide smooth communications between all Sr. Directors/GM’s and VPs; demonstrating leadership to maintain credibility, trust and support with senior management staff
- Ensure executive is prepared with necessary materials for meetings
- Organize data, produce and update reports and presentations with strong Microsoft office skills
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Keeping good record to legal contracts with HQ, agencies & retailers
Office Manager Responsibilities
- Coordinate meetings and manage meeting room bookings, catering for meetings etc.
- Manage office supplies inventory and place orders as necessary
- Receive and sort incoming mail and deliveries, and manage outgoing mail / parcels
- Deliver HR policies and procedures and updates from building management to office team in a timely and appropriate manner
- Managing office budgets, forecast whole year expenses for budget purpose
- Implementing and maintaining procedures/office administrative systems
- Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
- Provide general administrative support to each of the teams that you support
- Ensure all systems/platforms are available and active for all employees; troubleshoot with IT to help rectify any system issues the team are facing
- Support on new-comer on-boarding, setting up emails, accounts and all necessary IT platforms
