“NUS Global” or NUS Global Relations Office (GRO) is the international engagement arm of the National University of Singapore (NUS), serving a dual mandate. Broadly, GRO curates and manages mobility programmes that provide NUS students learning experiences abroad to support their educational, professional and personal development. GRO is also responsible for building collaborative relationships with overseas counterparts through alliances, networks and other channels to create value for our stakeholders.
GRO is seeking to hire an Assistant Manager/Senior Executive responsible for Corporate Administration. The role involves assisting with various aspects of office management, including, but not limited to, finance, procurement, fixed asset management, safety, and providing secretarial support to the Assistant Vice President (AVP).
Duties & Responsibilities
Administrative matters
Oversee and support University-wide systems i.e., EduRec-Global Education (EduRec-GE), Databank and inter-departmental systems i.e., Enterprise Data Management System (EDMS), SharePoint and GRO Media Gallery.
Ensure timely processing and review of applications for financial aid programs and/or student loan schemes.
Collaborate and coordinate with various university departments, faculties, and central administrative units to deliver timely reporting and respond promptly to inquiries and requests for information from government ministries, agencies, and other stakeholders.
Support department meetings, including secure meeting venue, coordinate refreshments etc
Coordinate, support, and submit claims/travel requests in the NUS system for AVP
Provide Secretarial support to AVP as and when required
Maintain organized and efficient filing of documents and agreements.
Finance and Procurement matters
Process finance claims and payments to vendors and suppliers using the NUS system
Oversee the procurement of fixed assets, stationery, and other office supplies, ensuring adequate stock levels
Manage the fixed assets – procurement, fixed asset tagging, retirement, etc.
Fire Safety & Security
Ensure compliance with safety regulations in collaboration with CES and UCI
Serve as the Fire Warden
Conduct and manage safety and building inspections with NUS policies
Others
Provide support in department-wide events where required
Qualifications
A diploma in any discipline with a minimum of 5 years of relevant administrative experience or a degree.
Experience in procurement and familiarity with SAP, Ariba System, or Salesforce is a plus.
Detail-oriented, highly organized, and adept at multitasking.
Strong interpersonal skills, with the ability to work effectively in teams and participate in cross-functional projects.
Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat (PDF).
