Job Posting for Administrative Support Executive at OMNI INDUSTRIAL PRIVATE LIMITED
We are looking for a dependable and detail-oriented Administrative Support Executive to provide day-to-day administrative assistance to a dual-practice business engaged in real estate services and industrial consultancy. The successful candidate will play a key role in ensuring smooth internal operations, managing documentation, coordinating schedules, and supporting client communications and record keeping.
This is a critical back-office role that contributes directly to client satisfaction, operational efficiency, and timely delivery of services.
Key Responsibilities
️ Administrative Operations
Maintain and organise digital and hardcopy filing systems for client records, lease documents, contracts, quotations, and proposals.
Handle document formatting, data entry, and updates to internal trackers and databases.
Prepare and issue standard business documents such as quotations, NDAs, invoices, and follow-up emails.
Scheduling & Coordination
Assist in arranging meetings, viewings, and appointments for the Director and clients.
Coordinate internal calendars and send timely reminders for follow-ups or key deadlines (e.g. lease expiry tracking, JTC submissions).
Communication Support
Handle basic client correspondence via email or WhatsApp with professionalism and accuracy.
Draft and format emails or letters based on provided templates or instructions.
Records Management & Reporting
Maintain up-to-date lead and client trackers in Excel or Google Sheets.
Prepare simple reports on task completion, enquiries handled, or document status.
️ Operational Support
Order and manage office supplies or tools as needed.
Assist with basic bookkeeping or invoicing tasks, in liaison with external accountants if required.
