Work Experience:
Experience providing administrative support in a business, financial services, or human resources setting
Proficiency with Microsoft Office Suite applications including Word, Excel, and Outlook
Functional Skills:
Ability to broaden office and facilities administration experience as well as develop a solid understanding of relevant regulatory, compliance and legal requirements
Comfortable providing excellent customer service
Ability to interact with all levels of an organization, across various departments and locations
Strong computer skills with intermediate knowledge Microsoft Office applications, particularly Excel and Powerpoint skills
Ability to listen to and analyze issues, seeking guidance as needed
Ability to work both independently and in a team environment
Willingness to learn how to gather and/or interpret relevant information through firsthand research or third-party consultation
Desire to develop an understanding of vendor management topics related to facilities management and workspace planning

Responsibilities:
Administer and maintain office processes per guidleines (e.g., badges, access, workspace, event planning, travel coordination, calendar scheduling, facilities management etc.)
Track and ensure availability and accessibility of office space and relevant inventory/supplies
Respond to employee and office inquiries, escalating issues as appropriate
Liase with office colleagues, vendors and building management
Manage and maintain executive calendar, appointment and daily schedule
Organize and coordinate travel arrangements, including flight bookings, hotel accommodation, transportation and itineraries
Prepare logistics, materials and follow up for meetings
Arrange and manage logistics for new hires
Support and organize various office projects and programs as needed
Education:
College Diploma or University Degree in Office or Business Administration or related field
