Operations Executive

Who We're Looking For:

We are looking for a proactive and adaptable Operations Executive to join our team. You’ll work closely with our Clinic Operations and Management team to ensure seamless day-to-day clinic functions and deliver exceptional customer service experiences. Your role:

• Handle appointment scheduling
• Respond to, and follow up on, customers’ inquiries over phone, email and messaging
• Process payments and invoices
• Manage deliveries of medications and other goods sold
• Provide other ad-hoc frontline support for customers e.g. customer registration, usher patients, assist customers with account access on mobile devices
• Assist in the inventory management
• Order office and medical supplies and ensure sufficient quantities are maintained at all times
• Assist the clinic managers to ensure smooth clinic and company operations
• Participate in and support ad-hoc assignments or projects (e.g., new service rollouts, marketing campaigns, relocation planning, system upgrades)
• Implement, review, and maintain Standard Operating Procedures (SOPs) to ensure alignment with operational objectives and regulatory requirements

Requirements:

• Polytechnic Diploma,Higher NITEC or NITEC qualification
• Computer literate
• At least 2 years’ working experience
• Able to multi-task and prioritise tasks under tight deadlines
• Customer-oriented and enjoy interacting with customers through various channels of communication
• Meticulous and detail-oriented
• Effective follow-up skills
• Able to work independently as well as in a team
• Excellent communication skills
• Experience in healthcare, biomedical sciences, operations and/or customer service will be advantageous
