Valvoline has a rewarding opportunity as a HR Specialist for Rest of Asia (ROA) reporting directly to the HR Manager of ROA. This is a hybrid opportunity, 2 days remote per week.
The HR Specialist Payroll supports the HR function for Rest of Asia (‘ROA’) including Thailand and is responsible for the accurate and timely processing of all payrolls within ROA. This position will respond in a timely manner to request for information about payroll, work with third-party payroll processors, maintain policies and procedures, and support overall processing including completing end of month account reconciliation balanced to the general ledger.
The HR Specialist will also assist the HR Manager of ROA with providing manager and staff with employee relations and industrial relations enquiries along with general HR administration assistance.
How You’ll Make An Impact
1. Payroll (50%)
- Ensure monthly payroll for ROA market is processed accurately and on time
- Work with payroll service provider
- Payroll accounts reconciliations balanced to the general ledger
- Stay up to date with local tax and superannuation legislation
- Point of contact for all payroll queries and benefit administration (ie insurance enrollment, cancellation, benefits reimbursement, annual benefit renewal)
- Analyze current offerings verse market trend for preparation of proposal to Global Benefits team
- Participate in both internal and external audits
- Handle statutory reports, compliance, audits etc.
- Assist with the administration of annual salary review processes and other organisational initiatives such as incentive programs
- Assist with providing data for manpower planning
2. HR Compliance/ Administration (20%)
- Maintain records of HR related documentation
- Ensure all personal files are up to date and as needed implement processes to streamline filing
- Maintain accurate and up-to-date employee records in HRIS for ROA
- Assist HR Manager with renewals on Employee Handbook and submission with local authorities
- Ensure compliance adherence for Contractor countries
- Ensure registration with all local ministry on employee status (Singapore, Indonesia, Philippines)
- Expat documentation management (visa and work permit) across ROA, working in conjunction with Global Mobility team
- Provide data to HR Manager for monthly HR reports / adhoc reporting requirements
- Provides data to HR Manager for monthly HR reports and reports to periodical administration meetings
- Ensures filing is kept up to date and as needed implement processes to streamline filing
3. Business Partnering (15%)
- Provides basic advice and information to management and employees on HR operational and policy issues and refer to the HR manager on more complex matters
- Advises on basic interpretation and application of HR policies and procedures, with guidance from the HR Manager, where appropriate
- Advise employees on routine payroll matters, policies, leave balances, statements of service etc.
- Maintains the constructive use of the HRIS for a variety of HR functional activities and reporting, in consultation with appropriate key personnel and/or the HR Manager
- Provides support and ensure appropriate processes are followed in ensuring the provision of quality HR and payroll services
4. Organizational Culture (5%)
- Assist with driving and embedding values, virtues and leadership attributes to deliver our potential
- Assist with employee engagement activities (eg wellbeing program)
5. Ad hoc reporting and projects as instructed by the HR Manager of ROA (10%)
Other duties and responsibilities as determined by Valvoline from time to time in its sole discretion.

- Internal: Valvoline employees and managers
- External: payroll provider, candidates, government offices, benefits suppliers
What You Will Need
- Bachelor’s degree (or equivalent) or certification in Human Resources
- 3 years’ experience utilizing a payroll / HRIS
- 3 years’ experience with hands on administration and generalist HR experience
- Experience in multiple countries within the ROA region
- Experience in handling full scope of HR functions will be a plus
- Solid understanding of labour legislation and labour laws
- Excellent knowledge of computer programs including MS Word, Excel, Power Point
