Job Overview We are seeking an Office Administrator to join our team at Evercold Technical Services, to oversee the day-to-day functioning of the office and ensure its operation runs smoothly. The ideal candidate will possess strong communication skills and be able to organise and prioritise incoming calls and workload. The role is office based where you will be part of a team in an open-plan office.
Responsibilities & Duties
Manage phone calls, emails, and other forms of communication.
Respond to customer enquiries and complaints
Handle correspondence, schedule appointments, and prepare documents
Use a range of software, including email, spreadsheets, databases, and online portals to ensure the efficient running of the office.
Maintain online and paper filing systems, organise records, and ensure proper retention and disposal.
Ensure adequate staffing levels to cover for absences and peaks in the engineers workload.
Assist with quotations and processing invoices.
Provide administrative support to staff, including training and onboarding new employees
Assist in the management of the business social media pages.
Experience, Qualifications and Skills Ideally candidates should have previous experience in a similar role or possess relevant qualifications in Office Administration. Essential skills include:
Excellent interpersonal, oral and written communication skills, with the ability to converse at senior level.
A customer focused approach.
Excellent organisational and time-management skills.
Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other commonly used office packages.
Strong IT and typing skills.
The ability to prioritise tasks and work under pressure.
