Global Commissioning Limited is a privately owned consultancy, with our Head Office based in the UK. We offer commissioning management and validation services to project developers and operators, ensuring they receive a fully operational and design-compliant building at handover.
We are a growing company and currently operate in multiple countries across Europe and Asia, and have active offices in Germany, Poland, Finland, Italy, and the Netherlands.
The Role:
We are seeking a dynamic and organised Office Administrator to join our team at the Head Office in Whitstable. This role is central in supporting our Compliance Manager and the Senior Leadership Team, ensuring the smooth operation of our office. This role will require occasional travel to sites across the UK and Europe.
Job type: Part-time, permanent (Monday 09:00am - 15:00pm and Friday 09:00am - 15:00pm) with flexibility to cover annual leave
Salary: £25,000 per annum (Pro-rata, 12 hours per week)
Key Responsibilities:
- Senior Leadership Team Support: Provide comprehensive administrative support to the Senior Leadership Team (SLT), including scheduling meetings, preparing documents, and coordinating communications.
- Procurement of products: liaising with suppliers to find to most competitive rates.
- PPE Management: handling requests for Personal Protective Equipment (PPE), ensuring timely distribution and accurate record-keeping.
- Asset Management: Manage office assets, focusing on IT-related requests. Responsibilities include liaising with IT support, tracking equipment, and ensuring all assets are in good condition.
- Supply Chain Coordination: Overseeing the end-to-end supply chain, from identifying reliable suppliers to monitoring inventory levels.
- Travel Booking: Assisting the travel team with booking travel and accommodation for employees.
- Document Management: Supporting site teams remotely with online documentation and cloud-based filing system.
- General Administrative Tasks: Perform a range of administrative duties such as data entry, file management, appointment scheduling, and assisting with document preparation.
Skills and Qualifications:
- Previous experience in office administration or a related role - Essential
- Strong organisational and time-management skills - Essential
- Excellent communication skills, both verbal and written - Essential
- Proficiency in Microsoft Office Suite and familiarity with office management software - Essential
- Ability to work independently and collaboratively - Essential
- High attention to detail and strong problem-solving abilities – Essential
- Experience working within the Engineering industry - Desirable
