Your Responsabilities
Travel Coordination: Organizing both domestic and international travel for senior executives, including complex itineraries.
Calendar & Schedule Management: Managing the busy calendars of executives, prioritizing appointments, and handling sensitive matters with discretion.
Internal Administration: Overseeing internal processes such as expense management, reporting, and team-related administrative duties.
Meeting Coordination: Organizing and scheduling meetings, providing seamless logistical support, and ensuring all necessary preparations are made.
Document Management: Facilitating the collection of signatures, coordination of certifications, and handling apostille requirements for legal documentation.
Office & Facilities Management: Managing office supplies, records, and the smooth operation of day-to-day office tasks.
External Stakeholder Management: Collaborating with external specialists and agencies to navigate the Luxembourg administration and ensure compliance with local requirements.
Your Tasks
Experience: A minimum of 8 years in an Executive or Personal Assistant role, ideally supporting senior-level professionals.
Travel Expertise: Significant experience handling complex business travel arrangements internationally.
Languages: Fluent in English; proficiency in another european language would be an asset
Skills & Competencies: Strong communication skills, both verbal and written, alongside exceptional organizational skills and a proactive approach to problem-solving.
Technical Proficiency: Comfortable using office management systems, ERPs, MS Office, and online calendar/cloud systems.
Personal Qualities: Discretion and confidentiality are a must, along with a collaborative spirit, strong interpersonal skills, and a positive, reliable attitude.
