The American Academy of Dermatology is seeking a Senior Manager, Operations located in our Rosemont office responsible for directing the day-to-day operations department and activities, including management of facilities to provide efficient and streamlined operations. Additionally, responsible for the development, management, and planning of the facility emergency response and business development plans for the Rosemont and Washington DC offices. This role work closely with the Director of Human Resources and Senior Vice President of Operations on operation area initiatives including coordinating, implementing, and completing operation projects as well as tracking organization and operation area initiatives.

 Responsibilities:

  • Plan, implement and direct programs and systems for the efficient office operations of the Rosemont office headquarters including supplies, mail services, maintenance and repair, HVAC, and fire and security systems. Oversee the management of outside vendors, including contract management and certificate of insurances, and key contact with Rosemont office landlord. Ensure legal compliance, including ADA and OSHA. Provide 24-hour on-call response for office emergencies as needed.  
  • Oversee the on-site meeting and catering for the Rosemont Office. Providing continued guidance for on-site meetings.  
  • Establish and maintain budgets for the department, Rosemont and Washington DC offices, and property, plant and equipment. Verify, code, process, and approve all invoices for timely payment.  
  • Oversee the maintenance and testing of the Academy’s business continuity plan, including developing and managing the emergency evacuation and disaster response plan for the Rosemont and Washington DC offices. 
  • Oversee and maintain the organization’s record retention policy. Provide guidance to all areas on the record retention policy and manage and track the offsite record storage.  
  • Manage the Academy’s floor plans and the assignment of office/workstation allocation for new staff or temporary staff/consultants. Work with the appropriate Operations division staff to ensure appropriate setup for all assigned offices and workstations.
  • Work closely with the Senior Vice President of Operations on assigned operation initiatives and responsibilities. This includes managing, coordinating, implementing, and completing operation projects as well as tracking organization and operation area initiatives. Manage organization wide operation calendar, communication, SOPs, etc.  
  • Provide support to the Senior Vice President which includes, Monday.com Operation Plan administration, development of PowerPoints, tracking assigned items/outcomes, etc.

 Requirements:

  • Bachelor’s degree required and/or equivalent experience. 
  • Eight years of experience in operations support or management required.  
  • Four years of staff management experience.
  • Advanced knowledge in Microsoft Office suite.  
  • Knowledge of web content management software.
  • Ability to handle difficult and stressful situations with professional composure. Anticipate department needs and address them with minimal oversight.
  • Business Knowledge – Demonstrate awareness of business functions and how business decisions affect financial and non-financial work results. Understand how each section of the business interrelates with others.
  • Buy-In/Advocacy – Build ownership and support for workplace initiatives.
  • Collaboration – Establishes and maintains effective work relationships, works cooperatively in group situations. Offers assistance and support to coworkers.
  • Communication – Apply effective verbal, nonverbal, and written communication methods to achieve desired results. Understand there are various methods through which communication is achieved and the barriers to effective communication. Ability to provide effective, organized presentations to large group of members, leadership, or individuals.
  • Continuous Improvement – Able to recognize and recommend ways to improve program efficiency and effectiveness.
  • Decision Making – Able to exercise discretion and independent judgment to understand issues, identify problems and opportunities to determine the appropriate course of action. Demonstrate sound decision-making skills with an increasing number of alternatives to be reviewed by management.
