Purpose of Position:
The Administrative Assistant will provide mid-level administrative and human resources support to a department, team, or executive. This role combines general administrative duties with specific HR tasks, requiring excellent organizational skills, attention to detail, and the ability to handle sensitive information. The individual will assist in ensuring efficient office operations and smooth execution of HR-related activities.
Key Responsibilities:
- Administrative Support:
- Manage calendars, schedule appointments, and coordinate meetings, including preparing agendas and materials.
- Oversee day-to-day office operations, ensuring a clean, organized, and functional work environment.
- Documentation and Reporting: Ensure that documents are properly organized and readily accessible.
- Organize and maintain files, records, and correspondence, ensuring confidentiality.
- Prepare and format reports, presentations, and documents using word processing, spreadsheet, and presentation software.
- Communication:
- Serve as the primary point of contact for internal and external inquiries.
- Draft, proofread, and distribute emails, memos, and other written communications.
- Answer and direct phone calls, taking detailed messages as needed.
- Collaboration and Team Support: Work closely with various departments to facilitate communication and workflow.
- Assist team members with their administrative needs, contributing to a cooperative team environment.
- Event Coordination:
- Assist in organizing events, conferences, and team-building activities.
- Coordinate travel arrangements and prepare detailed itineraries for staff or executives.
- Office Operations:
- Monitor and order office supplies to maintain adequate stock levels.
- Assist with onboarding new employees by preparing materials and coordinating orientation schedules.
- Handle incoming and outgoing mail, packages, and deliveries.
- Project Support:
- Assist with special projects, gathering and analyzing data as needed.
- Track and manage deadlines to ensure project milestones are met.
- Financial Tasks:
- Prepare and submit expense reports.
- Process invoices and track budgets in collaboration with the finance team.
Qualifications:
- Education: High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Experience: 2–4 years of administrative support experience, with increasing levels of responsibility.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office technology.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to handle sensitive information with discretion and professionalism.
- Problem-solving skills and the ability to work independently or as part of a team.
Preferred Qualifications:
- Experience with project management tools or CRM systems.
- Familiarity with accounting or budgeting software.
- Previous experience in a specific industry (e.g., healthcare, finance, technology) is a plus.
Work Environment:
