Responsibilities
- Schedule and organize complex activities such as meetings, travel, and seminars, including managing attorneys’ calendars as requested
- Type general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling and grammar making appropriate changes
- Reviewing time entries, ensuring they are clear and accurate and comply with Firm billing guidelines
- Follow up with team members regarding time entry and project status, and summarize relevant information for the billing partners
- Work proactively with the Firm’s client revenue team to process all legal client bills for supervising attorney(s); Review and edit monthly bills, and coordinate with the client revenue team on any entries that require editing
- Provide client billing support to supervising attorney(s) to ensure timeliness in producing and processing accurate client billing, including ensuring client billing entries are aligned to appropriate client matter codes and adhere to client specific billing requirements
- Volunteers to assist others in practice groups and office as requested. Works harmoniously in a team environment and fosters team spirit
- Share information and expertise readily with staff members at all levels
- Open new matters by gathering and submitting information, addressing conflicts and answering questions from intake personnel
- Manage signature pages and other documents in the firm’s iManage system and in third party data site providers as part of due diligence projects and transaction closings
- Turn attorney documents into effective visual presentations in Word and PowerPoint
- Edit and redline agreements and other legal documents
- Light internet research as requested
- Organize and plan department and client events as requested
- Manage annual gift giving for clients
- Work with business development team to report and publicize transaction closings
- Keep up with resources that are available within the firm and communicate with attorneys about those resources
- Submit service provider invoices and attorney expense reimbursements
- High School Diploma or equivalent; Bachelors Degree preferred
- Legal secretarial experience in transactional preferred; work experience in a legal or professional services environment
- Expert knowledge of Word and PowerPoint, and a minimum or intermediate knowledge of Excel
- Excellent knowledge of office systems (i.e., Intapp Time, Intapp Open, etc.)
- Very able to complete fine hand manipulation (heavy typing, dialing, filing); sitting/standing/walking/stooping; ability to lift to 25 lbs
- Can work independently prioritizing work and meeting deadlines
- Knowledge of marketing resources and relevant materials
- Excellent English verbal and written communication skills

Salary : $92,600 - $100,000
