Our client is based in Oklahoma City. They are a leading provider of oil tools and equipment for the oil and gas industry. They are currently seeking an Office Administrator to join the team in Oklahoma City. This is an excellent opportunity to start your career in the accounting or bookkeeping field. The ideal candidate will have critical thinking skills, strong attention to detail, excellent organizational skills, and a desire to learn and grow with the company. Prefer a candidate that has experience in the oil & gas industry.


Key Responsibilities


Receiving

  • Assist staff in receiving inventory items, ensuring accurate quantities.
  • Collaborating with management and accounting to ensure timely invoicing
  • Accurately update items received in NetSuite
  • Troubleshoot any discrepancies with staff or vendors as required

Office Administration

  • Ordering office supplies & making certain that office equipment is maintained.
  • Coordinating with staff and local vendors and service providers to ensure continuity (exp. communicate to staff if there are notifications of service disruptions)
  • Booking flights and making travel arrangements

Accounting

  • Complete annual state registrations, ensuring timely renewals and in compliance across all operating States
  • Handle sales tax registrations, filings, certificates, and exemptions for each State where the Company operates
  • Ensure the Company remains in compliance with state-specific filings, deadlines, and payments
  • Monitor and address any State correspondence or issues that may arise, including inquiries, notices, and issues

Document Management

  • Develop and implement organizational processes
  • Performing clerical duties and maintaining accurate records and files of activities.
  • Collect and forward all vender and utility invoices, receipts, and packing slips to AP
  • Assist in filing of employee receipts for monthly expense reports

Qualifications:

  • A stable work history is crucial to this role.
  • Demonstrated analytical, problem-solving, organizational, and time-management skills.
  • Previous experience in administration is an asset, along with strong communication and interpersonal skills
  • Excellent organizational and time-management skills
  • Proficient in Microsoft Office, particularly Excel & Outlook, Direct experience with Oracle Net Suite is a bonus.
