Position Title: Athletics Director
Hours: Generally, hours are noon to 8pm. Must be able to work evenings.
Position Summary
The Athletics Director plans and oversees all athletic leagues and programs for BGCCW; answering parent and volunteer inquiries, organizing teams and schedules, recruiting participants and coaches, and assuring that all equipment is available and in good condition. Athletics Director recruits, trains, oversees athletics staff, scheduling, and directing them where needed. Also assists in disseminating league information to schools and community partners. Oversees facility scheduling and maintenance as needed. Athletic Director ensures that all athletic volunteer staff complete mandated volunteer trainings per BGCCW requirements.
Roles & Responsibilities
Leadership and Human Resource Management
1. Provide leadership and support in all athletics programs, events, and activities, assisting in Club programming as needed.
2. Build a high-quality program with a continuous quality improvement mindset.
3. Interview, hire, train, evaluate, and terminate athletics staff.
4. Train athletics staff in all BGCCW sites Club procedures, officiating methods, and delivery.
5. Motivate staff, set example, show initiative, and evaluate staff objectively.
6. Seek and/or provide career development opportunities for athletic staff and volunteers.
7. Offer programs as directed, and delegate staff as needed.
8. Provide accurate and punctual reporting.
9. Share communication and information with athletic staff as needed.
10. Be punctual with timesheets and other time sensitive staffing materials and needs. Manage staffing schedules accordingly.
11. Meet monthly and other reporting deadlines for program reports.
12. Conduct consistent staff meetings for the purpose of in-house training, scheduling, information sharing, and weekly program review and preview.
13. Participate in organization fund-raisers throughout the year.
14. Establish athletic programs and leagues which are consistent with our mission and sports philosophy.
15. Set league schedules, recruit volunteer coaches, hold coaches’ meetings, officiate all leagues as needed.
16. Coaching and officiating of all BGCCW sports programs.
17. Attend meetings as directed.
18. Insure and track that all athletic volunteers received all mandatory BGCCW volunteer trainings.
19. Create a yearlong calendar with time games for each sport in each community.
Club Culture and Program Oversight - Strategic Planning
1. Establish athletic programs, activities, and services that prepare youth for success and that create a Club environment that supports achievement in our 3 Priority Outcomes of Academic Success, Healthy Lifestyles, and Good Character & Citizenship.
2. Ensure a healthy and safe environment, ensuring facilities, equipment and supplies are properly kept; set example for all and institute good housekeeping procedures for Club site and other athletic venues.
3. Plan, develop, implement, and evaluate overall athletics programs, services, and activities.
4. Ensure programs meet stated grant objectives and member needs and interests.
5. Plan weekly, school year, and summer athletic program schedules with a year-long master schedule.
6. Compile regular reports reflecting all activities, attendances, and participation trends for grants and other data needs.
7. Plan appropriate athletic program objectives and interpret them effectively.
8. Provide leadership, direction, and problem-solving in regard to guidance and discipline of Club members and is primary decision maker on member discipline and communication with parents during athletic events.
9. Contribute to the creation of the overall Club climate for youth development and a positive, safe, and clean environment.
10. Implement culture and programming that is energetic and fun.
11. Adhere to all policies and procedures established by the Boys & Girls Clubs of Central Wyoming.
Resource Management and Budget Control
1. Collaborate with financial leadership to make fiscally sound decisions regarding staff wages, facility maintenance, program budgets, as well as specially assigned grant budgets.
2. Budget time well in comparison to plans and approaches.
3. Manage athletics financial resources assisting in the development of annual budgets as needed.
4. Operate within budget while controlling expenditures.
5. Follow purchasing procedures, following purchase order procedures.
6. Purchase or approve purchase of supplies and equipment with approval of CFO.
7. Ensure administrative and operational systems are in place to maintain the operation of the physical properties and equipment of the Club, including use of facilities by outside groups and partners in agencies, when applicable.
8. Develop and regulate the budget and appropriate spending for equipment, facilities, salaries, referees, and all athletic operations.
Partnership Development
1. Develop partnerships with parents, community leaders, and outside organizations.
2. Elicit cooperation from diversified groups and effectively collaborate with other agencies.
3. Coordinate and plan sports camps and special activities, as applicable.
Marketing and Public Relations
1. Collaborate with the marketing department to develop and maintain timely public relations to increase the visibility of programs, services, and activities within the Club and the community.
2. Promote and market athletics programs to Club members, schools, parents, and the community.
Facility Maintenance and Repair
1. Create a safe environment by ensuring proper maintenance and repair of athletics venue and equipment.
2. Maintain a clean and safe environment at all times free of clutter and safety hazards.
Relationships
1. Internal
~Maintain close, daily contact with supervisor and Club professional staff to interpret and explain organizational mission, program objectives and standards, discuss issues, and provide/receive information.
~Build a team of youth development professionals who work together cohesively and respectfully to serve our mission.
~Communicate with members as needed to discipline, advise, and counsel.
~Speak effectively and prepare organized and concise written communications.
~Elicit cooperation from peers and coworkers as needed.
~Be recognized as the leader or authority figure of the Athletic Department.
2. External
~Maintains contact with external community groups, schools, members' parents, and others to assist in resolving problems and to market the Club.
Additional Responsibilities
1. Work with staff on special events to carry out programs in all departments, and lend support to major fundraising events as needed.
2. Exercise authority in problems relating to members and parents; utilize guidance and discipline plan.
3. Analyze available data and make sound decisions.
4. Assume other duties as assigned.
5. Ongoing professional development as necessary.
Knowledge, Skills, and Abilities
~A four year degree from an accredited college or university, or equivalent experience.
~A minimum of five years work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people, or equivalent experience.
~A minimum of two years management experience in the nonprofit sector.
~Ability to utilize time management skills to prioritize tasks and complete deadlines while maintaining a balanced schedule.
~Experience in personnel supervision, facilities management, and the recruitment and retention of key personnel.
~Group leadership skills, including an understanding of group dynamics.
~Ability to work with diverse personalities and expectations.
~Strong communication skills, both oral and written.
~Ability to recruit, train, supervise, and motivate staff.
~Ability to deal effectively with members including behavior challenges.
~Working knowledge of budget preparation, control, and management.
~Willingness to support fund-raising events.
~Demonstrated ability in working with young people, parents and community leaders.
~Must be certified in First Aid and CPR.
Minimum Measurable Performance Expectations
~Be punctual with time sheets and monthly program reports.
~Attend meetings as scheduled.
~Perform one outreach/recruitment task per month.
