Full-Time Mon.-Thurs. / On-Site Only
What We Are Looking for: We are seeking a full-time Receptionist and Administrative Assistant Monday through Thursday (Four 10-hour days, no Fridays), in our Floresville Office.

- Be Receptive to Learning Our Legal Software and Maintaining Electronic Files
Responsibilities:
Phones/Communication
- Receive and Route Inbound Calls
- Make Outbound Calls to Schedule Meetings and Other Calls When Needed
- Warm Transfer Client Calls to Paralegal on Case
- Receive and Direct Potential New Clients’ Calls to Intake Specialist
- Get the Attorney’s Attention when the Court Calls, Insurance Adjusters Call, or Other Pressing Matters are Apparent from Call
- Ensure Phone Routing Works (Especially When Out of Office)
Office Appearance/Supplies
- Keep Reception Spaces Clean and Uncluttered
- Make Conference Room Presentable and Prepared to Receive Clients Each Day
- Receive Delivered Packages
- Maintain Inventory and Order Office Supplies
- Keep Supplies Storage Spaces Organized
Concierge
- Professionally and Warmly Greet Clients
- Order Food for Client and Team Meetings When Requested
- Proactively Monitor Firm Calendar for Scheduled Client Meetings and Conference Room Availability
Admin/Mail
- Courier Items to Courthouse and Other Locations as Needed
- Take Items to Post Office as Needed
- Assist with Scanning and Renaming Documents
- Package Mailouts and Ensure Mail is Timely Postmarked
- Scan, Log, and Track Return Receipts and Proofs of Delivery
- Occasionally Schedule Meetings and Make Phone Calls for Cases
- Assist Team Members as Needed
Billing and Finance
- Edit and port work in progress (WIP) to billing software
- Track and log Client Expenses to billing software
- Edit and finalize invoices for legal services
- Package and send invoices
- Manage and proactively follow-up with accounts receivables
- Maintain vendor accounts
- Track and pay office expenses
Candidates should also be aware of the following:

Job Type: Full-time
Pay: $10.00 - $20.00 per hour
Expected hours: 35 – 40 per week
