POSITION SUMMARY:
Our ideal candidate is detail/quality-oriented, possessing strong written and verbal communication skills, with a proficiency in the Microsoft Office Suite, with a focus on document formatting. They should be able to manage multiple projects simultaneously, prioritizing tasks, and take initiative to conduct independent research, while coordinating and facilitating the preparation of government proposals.
Work is performed with direction from an experienced proposal manager, in collaboration with capture managers, program and project managers, business development personnel, graphic artists, and other administrative and technical personnel, under the general supervision of the Vice President and President/CEO. Interaction and collaboration often include representatives from other companies that are partners with BTAS (as our subcontractor, as our prime contractor, or as a fellow team member company), and occasionally government customer representatives.

PRIMARY RESPONSIBILITIES:
Proposal Coordinator:
- Design and create templates for Requests for Information (RFIs), Requests for Quotes (RFQs), and Requests for Proposals (RFPs) to meet solicitation requirements.
- Offer direct support to Business Development and Proposal Teams by developing solutions for RFIs and RFPs, creating compliance matrices and checklists, editing proposals, and drafting both internal and external company documents.
- Collaborate with the proposal team to streamline the proposal process as needed, assisting in the final production and packaging of proposals.
- Provide desktop publishing and formatting services throughout the proposal development process.
- Track and download solicitation documents for potential opportunities.
- Initiate, draft, and maintain a repository of proposal materials.
- Assist in creating content for proposals and RFIs.
- Ensure that proposals are secure and comply with the company's standards.
- Facilitate color team reviews throughout the proposal process.
- Oversee the production of proposals, maintaining quality control and ensuring compliance with standard requirements, including corporate style guides, branding guidelines, departmental procedures, and customer instructions.
- Manage the MS SharePoint site, ensuring that all updates, amendments, and modifications are communicated to the proposal development team and properly archived.
- Contribute to the development of marketing materials, social media content, and a library of past performance records.
SECONDARY RESPONSIBILITIES:
Research and Regulations:
- Conduct research and analysis of current and future procurement opportunities with Federal agencies.
- Assist with research, analysis, and market-specific recommendations, including contract vehicle utilization, new opportunities, and potential partnerships.
- Research federal acquisition regulations, contract language and specifications, and government procurement databases to support opportunity pursuits.
- Assist in evaluating scientific and technical specifications, contractual language, and environmental reports to support development of sound technical approaches.
- Learn Federal Acquisition Regulations (FAR), small business regulations, environmental regulations and industry standards.
- Monitor government and industry websites (SAM, GovWin, FedConnect, etc.) for potential opportunities
MINIMUM QUALIFICATIONS:
- Bachelor’s degree (BA or BS) plus 3 or more years’ experience working with proposal/grant/bid application process preferred.
- Understanding of the DoD and Federal Agency solicitation formats and acquisition processes.
- Proven experience in reviewing and revising proposal content and other documents for publication.
- Skilled in applying accurate and consistent spelling, grammar, formatting, and ensuring overall cohesiveness in document text.
- Proficient in ensuring that documents meet editorial and client specifications while adhering to standards for quality, clarity, presentation, and style.
- Experienced with Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint) and Adobe Acrobat Professional.
- Adept at using Microsoft Word to track changes, verify information, copyedit, and communicate issues downstream.
- Proficient in utilizing MS Word features, including Styles, tables, and all desktop publishing aspects.
- Capable of managing multiple concurrent tasks in a deadline-driven environment.
DESIRED QUALIFICATIONS:
- Familiarity with federal government, military, technical, and engineering concepts, terms, and acronyms, especially those related to USAF and/or DoD business.
- Possess a basic understanding of legal/contractual language to enable confident assessment of requirements for compliance.

WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office equipment.
PHYSICAL DEMANDS:
Must be able to operate a computer and other standard office equipment. Must be able to remain in a stationary position, 80%.
TRAVEL/OPERATING HOURS:
Very little to no travel is expected. And although every effort is made to complete assigned work during normal work hours, proposals and other projects may require working extended hours, including weekends, on relatively short notice to meet schedule deadlines.
