HR Operational Support Specialist (HR-OSS)

HR OPERATIONAL SUPPORT SPECIALIST (HR-OSS) :
- Provide administrative and operational support to the HR department by maintaining applicant records, assisting applicants with application processes, and generally acting as the first point of contact for applicants during the pre-employment application phase of the hiring process.
- Provide customer service and support to applicants in the pre-employment phase.
- Assist applicants with issues or questions.
- Assist applicants with their suitability application process.
- Schedule Pre-employment physicals, Drug screening, and all required training.
- Complete Pre-Employment Data Validation utilizing Exhibit 7b in TAMS.
- Coordinate with the human resources department regarding security onboarding / off-boarding.
- Coordinate onboarding of security new hires.
- Maintain a central security document and file archive.
- Provide centralized security customer service support.
TAMS ADMINISTRATOR :
- Support the review of licensure and certification requirements for all active contracts to ensure compliance among contract support personnel.
- Assist in the development, implementation, and enforcement of compliance processes and procedures for personnel associated with contracts.
- Facilitate entry and upload of licensure and credentials for all new hires into the TAMS system.
- Maintain and update contract-specific compliance spreadsheets, reports, and databases, including TAMS for the Federal Protective Service.
- Ensure the organization and maintenance of a centralized repository for both physical and electronic files.
- Conduct routine audits of licensure, credentials, and training records for all personnel supporting contracts.
- Compile and submit the necessary documentation required for facility and / or agency clearance.
- Generate weekly compliance reports that provide an overview of the current contract compliance status, along with identification of any credentials or requirements that have expired or are approaching expiration within the next 30, 60, or 90 days.
- Assist in the creation and / or printing of certificates, credentials, or exhibits as required.
- Initiate and oversee the application and renewal processes for contract support personnel's state-specific unarmed and / or armed licenses.
- Perform additional duties as needed to support compliance activities and initiatives.

- Ability to operate standard office equipment, computer hardware, fax machines, printers, and badge systems.
- EDUCATION AND EXPERIENCE
- High school diploma or equivalent is required; an associate degree is a plus.
- Minimum of one (1) year in an administrative support role; programmatic support, human resources, and / or recruiting.
- Minimum of one (1) year of experience supporting government contracting.
- Security and FPS experience preferred.
Clearance Requirement : No clearance is required for this position.
Supervision : The Chief Operating Officer and the Senior Director of Human Resources supervise the position. The employee will have opportunities to work autonomously and demonstrate independent judgment over assigned tasks.
Travel Expectations : The position is in-house at the corporate office from Monday to Friday. Limited travel may be necessary to participate in compliance and team activities.
Working Conditions : The position is primarily sedentary and takes place in a standard office environment. The employee may need to lift and carry awkward items weighing up to twenty-five (25) pounds.
The HR Operational Support Specialist (HR-OSS) / TAMS position is a dual role that requires close collaboration with the recruiting, human resources, and operations departments.
In this position, you will coordinate and monitor the onboarding process for new hires. You will also support the organization by managing personnel training records in both paper and electronic formats.
Additionally, you will maintain all contract-specific records, as well as monitor licensure and certification requirements, including both initial and renewal processes, within the Training Academy Management System (TAMS).
