Job Summary:
The Practice Manager for Pediatric Associates of Dayton (PAD) oversees and works in collaboration with Dayton Children’s Hospital’s (DCH) operational leadership on the day-to-day operations of the PAD practices located in Beavercreek, Kettering and Englewood. As the Practice Manager, you will also work closely with physicians and other management on patient services, business strategy and other practice matters. You will directly supervise the clinical employees and are responsible for patient safety, clinical quality, patient/family experience, access, employee accountability, employee engagement, provider engagement, capital budgeting, operational budgeting, business development, market growth, change management, facility management and regulatory requirements.
Essential Duties and Responsibilities:
Serve as the practice management senior liaison; Attend various meetings with the lead physician, providers, management group, DCH and vendors to discuss updates, issues and resolutions of various practice, employee or software related topics.

Model and foster a positive and team-centered work culture; Guide staff to success through focused support and coachingBuild a high performing team for each practice location, including talent acquisition, employee development, and creating an inclusive work cultureLead the process of creating staff KPIs, performance evaluations, and coaching feedbackConduct performance and development conversations for assigned staff and escalate sensitive practice and employee matters, manage employee Time and AttendanceEnsure 100% compliance of staff completing action items for benefit enrollment, compliance training, onboarding, offboarding, leaves, and other employee relations matters
Collaborate with stakeholders regarding practice workflows and patient engagement including:
Business strategies to increase efficiency, profitability, and patient services
Insurance coding, billing and fee schedules
Marketing and brand, e.g. the practice website, local advertising, public relations
Revenue cycle management including billing processes, accounts receivables and debt collections, bank deposits and balance and update all charge and payment batches in Allscripts
Facility and inventory management; Clinical and administrative supply orders
Implement and enforce security procedures to protect the practice’s private and patients’ information
Oversee and troubleshoot invoice workflows and processing with the accounts payable team
Lead the patient complaint process, responses and recommend improvements to achieve patient satisfaction goals
Assist the Finance team with documents and information for financial audits; Generate and provide to stakeholders monthly and RVU tracking reports from the Allscripts PM system
Collaborate with the IT department to address all office and vendor related IT issues
Work with accounting team to manage yearly budgets and monthly P&L reviews
Other tasks as assigned

Education, Experience and Abilities:
Bachelor’s degree in healthcare administration, business administration, or other relevant field is preferred; Appropriate experience may be substituted for educational requirements
8 years of experience in a medical office or healthcare facility preferred with proven experience in office management or similar role; medical office management experience preferred
Excellent judgment and decision-making skills and high ethical standards
Strong organizational and planning skills
Strong written and verbal communication and follow-through
Ability to work well in a fast-paced, patient-facing environment while maintaining a high quality of work
Proficient in computerized systems including Microsoft Suite
Supervisory Responsibilities:
Oversees staff at all three practice locations
Direct supervision of Clinical and Billing teams
Hours and Work Schedule:
Monday - Friday 8:00 a.m. - 5:00 p.m., after hours as needed
Home office is Englewood, OH – must be able to report to Beavercreek or Kettering offices as needed
