As a member of the advancement department of Catholic Charities, Diocese of Cleveland, the advancement coordinator is responsible for providing administrative and operational support to coordinate fundraising, marketing, public relations, and communications strategies to support our mission of providing help, creating hope and serving all. We seek a highly organized and motivated individual with excellent administrative skills to help ensure seamless funding support for essential programs serving 400,000 people in need each year. Job Responsibilities:
Advancement Department Operations
- Perform assigned fundraising, marketing and public relations activities with growth opportunities to learn and advance.
- Support day-to-day administrative functions of the department, ensuring smooth operations by managing schedules, coordinating office supplies and providing general support to staff.
- Provide administrative support to the advancement committee of the board of directors, including scheduling meetings, preparing meeting packets and taking minutes.
- Track and manage department expenses.
- Deliver exceptional customer service to internal and external stakeholders.
- Prepare letters, mailings and other correspondences.
Fund Development
- Accurately record donations on an ongoing basis in the donor database and generate timely and accurate gift acknowledgment letters and tax receipts.
- Ensure donor information is up to date in the database.
- Record Catholic Charities leadership and board relationships and moves management actions in the donor database.
- Coordinate event and meeting logistics for central-office donor stewardship and engagement, and occasionally provide event support for specific programs across Catholic Charities service areas.
- Support donor cultivation by researching and preparing donor profiles for upcoming meetings.
- Support grant specialists by developing proposal and report templates for upcoming deadlines and completing general sections of funding requests upon request.
- Continuously evaluate and improve fund development processes and procedures.
- Stay current on industry trends and regulations related to fundraising.
Marketing & Communications
- Support day-to-day implementation of public relations activities as assigned.
- Continuously evaluate and improve marketing & communications processes and procedures.
- Manage media monitoring and clip reports.
Collaboration
- Integrate marketing and communications efforts into the fund development plan.
- Work with the advancement board committee to engage the members in supporting Catholic Charities' strategic initiatives and strengthening relationships in the community.
- Identify and address issues or challenges within policies and procedures.
- Uphold the values and mission of Catholic Charities in all advancement activities.
- Contributes to a positive and collaborative work environment.
Working Conditions and Physical Demands:
- Work on-site (with WFH flexibility 1-2 days per week) in a typical office environment.
- Effectively manage stressful, fast-paced situations.
- Occasionally travel throughout the Catholic Charities service area (Northeast Ohio). Must have valid Ohio driver’s license and reliable means of transportation for local travel.
Job Qualifications:
- Bachelor's degree in communications, public relations, marketing, business administration, nonprofit management, or other relevant field.
- Minimum of 3 years of experience. Experience in health and human services fields is preferred but not required.
- Solid technical skills, with strong working knowledge of fund development software and databases.
- Demonstrated ability to handle confidential information appropriately.
- Detail-oriented, with the ability to manage multiple projects simultaneously while maintaining accurate records.
- Excellent organizational and communication skills.
- Understanding of the Ethical and Religious Directives for Catholic Health Care Services, Catholic Social Teaching, and mission of Catholic Charities.
- Must have a valid Ohio driver's license and reliable means of transportation for local travel.
