Overview
We are seeking a highly organized and proactive Office Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This includes the maintenance of equipment such as copiers, vending machines, supplies, fire drills, and all other tasks related to optimal office functioning.

Duties

  • Oversee daily office operations and ensure a productive work environment.
  • Supervise administrative staff and provide training development to enhance team performance.
  • Manage vendor relationships, including negotiating contracts and ensuring service quality.
  • Assist in budgeting processes and monitor office expenses to maintain financial efficiency.
  • Coordinate calendar management for executives and schedule meetings as needed.
  • Utilize phone systems effectively to manage incoming calls and facilitate communication within the office.
  • Maintain accurate records using QuickBooks for financial tracking and reporting.
  • Implement best practices in medical office management to ensure compliance with regulations.
  • Support overall office management tasks, including inventory control and supply ordering.

Qualifications

  • Proven experience in office management or a similar role is preferred.
  • Strong supervisory skills with the ability to lead and motivate a team.
  • Experience with vendor management and contract negotiation is a plus.
  • Familiarity with budgeting processes and financial oversight.
  • Excellent training development skills to foster employee growth.
  • Proficient in calendar management, ensuring efficient scheduling of appointments and meetings.
  • Knowledge of phone systems for effective communication within the organization.
  • Experience with QuickBooks or similar accounting software is desirable.
  • A background in medical office management is an advantage but not required.
  • Exceptional communication skills, both written and verbal, with a focus on clarity and professionalism.

Job Type: Full-time

Pay: $48,000.00 - $54,000.00 per year
