Job Summary:
Chrysalis is seeking an experienced events and donor relations manager. A critical member of the Development and Communications team, the Events and Donor Relations Manager reports primarily to the Director of Communications and collaborates with all department and organization staff members to meet strategic engagement, fundraising, and public-awareness goals. This position is responsible for managing an events portfolio that meets significant financial goals each year and to provide ongoing stewardship and engagement for Chrysalis donors and stakeholders. Candidate should be creative, flexible, and able to work independently as well as part of a team.
The salary range for this position is from $65,000-$70,000 but could be up to $80,000 based on experience.
Responsibilities include:
Events: (65%)
- In collaboration with the Vice President and Director of Communications:
- This position will coordinate event planning, execution of fundraising events, and support stewardship and engagement opportunities for first-time donors and beyond. Key metrics for this job will be to increase donor giving, donor engagement, and donor retention. Signature and large-scale fundraising events should achieve a minimum 60-65 percent net profit after expenses.
- Implement and further develop signature fundraising events including the Chrysalis Butterfly Ball and produce a program of successful fundraising events, including an additional high-level fundraising event, throughout the year to increase revenue and raise the profile of Chrysalis.
- Develop and manage budgets and financial tracking for all events, including developing timelines, procedures, assignments, and schedules. Provide accurate financial analysis pre- and post-events and as part of the annual budgeting process and/or as assigned.
- Manage all aspects of production and fundraising for Chrysalis' annual Butterfly Ball, including event production, volunteer management, talent management, catering, publicity, promotion and event marketing.
- Help to secure and manage a wide range of vendors for Butterfly Ball, including event contractors, full production team, catering, support staff, etc., as required to produce a high caliber fundraising event.
- Collaborate with VP and other key constituents to secure key event participants, including but not limited to honorees, fundraising committees, emcees, entertainment, and celebrities.
- Manage event and host committees, including cultivation and stewardship, with a goal of maximizing fundraising revenue, reducing event expenses and creating a pipeline for major donor and sponsor engagement.
- Secure annual budgeted line items for Corporate Sponsorship across events, in addition to budget-relief and unbudgeted in-kind goods and services, including auction items, beverages, flowers, production needs etc.
- Help to cultivate a pipeline for celebrity engagement with a goal of having a stable of high-profile individuals who routinely participate in events and other programs on behalf of Chrysalis.
- Identify fundraising partners with events external to Chrysalis that will designate the organization as beneficiary.
- As needed, manage non-fundraising related Chrysalis events.
- Work with development and communications and volunteer and programs teams to effectively recruit, manage, assign volunteers for event support. Develop and regularly update job descriptions for all event volunteers.
- Manage the design, logistics and production of all donor events.
- Record attendee data in RE/NXT.
- Other duties as assigned.
Donor Relations (35%)
- In collaboration with the Vice President and frontline fundraisers:
- Develop and execute a range of engagement activities designed to advance donor relationships, to ensure they feel like valued partners with a personal connection to our work.
- Proactively assist in establishing and managing individualized stewardship plans for major donors and prospects.
- Maintain process for extending strategic and regular invitations to donors and prospects for meetings, tours, events and major fundraising events including Butterfly Ball.
- In collaboration with frontline fundraisers, work to support and expand our annual giving program, including recruitment and engagement, recognition and benefit implementation.
- As needed, draft personalized donor acknowledgment letters.
Job Skills & Qualifications:
- Three-five years of fundraising event management and stewardship experience.
- Exceptional organization skills, with the ability to manage multiple priorities and to work under pressure.
- Ability to motivate and engage diverse constituencies, including donors, staff, and volunteers.
- Demonstrated public speaking, time management, fundraising, writing and negotiation skills.
- Significant knowledge of the entertainment and local business industries is preferred.
- Proficiency in Microsoft Office, Razors Edge, and other design programs.
