CIAL D&B is looking for a Headquarter-based Office Manager to oversee daily operations in the office, while also directly support several C-Suite executives for its LATAM-based operations in various strategic projects. The role would entail significant interaction across all departments and levels in the company. The ideal candidate has strong organizational skills, is punctual, is a quick learner, and a self-starter. The role is an opportunity for a candidate to work closely with CIAL’s C-suite team in further developing our company and achieving our goals and aspirations.

Core Responsibilities
- Act as first point of contact for inbound and outbound communication, applying discretion and judgement when dealing with sensitive information
- Extensive calendar management via Outlook which includes scheduling meetings, conference calls, addressing meeting conflicts and assisting with hosting video conferences
- Establish communications between executives and other team members across our regions
- Manage day-to-day operations of the office, including but not limited to: answering phones, managing mail and deliveries, stock and maintain office pantry, and ensuring the office is clean and well-maintained
- Perform general administrative duties
- Support in planning of work-related trips and submitting travel and business-related expense reports on a timely basis
- Coordinate and/or lead ad hoc projects
Qualifications
- Fluency in Spanish and English are a requirement. Live translation will be required from time to time. Portuguese a plus, but not required.
- Bachelor's degree or equivalent experience
- Strong written and verbal communication skills
- Ability to work in high intensity, fast-paced environment
- Adaptable and flexible
- Proficient in all Office 365 programs (Outlook, Word, Excel, PowerPoint etc.). Familiarity with web-based project management tools such as Airtable, Monday, Asana, Jira, etc., is a plus. Salesforce a plus.
