Overview
A District Administrative Assistant plays a crucial role in managing office operations and supporting Mayor’s City Council Director and department leaders.
Key Responsibilities
1 Office Management: Oversee daily office operations, including maintaining office supplies and equipment.
2 Scheduling: Coordinate and manage calendars, schedule appointments, and organize travel arrangements.
3 Communication: Handle correspondence, including emails and phone calls, and assist in preparing reports and documents.
4 Event Planning: Assist in planning and coordinating district events and meetings.
5 Record Keeping: Maintain accurate records and files, ensuring confidentiality and compliance with district policies.
6 Budget Management: Assist in managing budgets, processing invoices, and tracking expenses.
7 Policy Implementation: Apply and explain district policies and procedures to staff and stakeholders.
8 Skills: Strong organizational, communication, and interpersonal skills. Proficiency in office software (e.g., Microsoft Office Suite).
9 Attributes: Ability to multitask, attention to detail, and a proactive approach to problem-solving
10 Performs any and all other work as needed or assigned.
Knowledge And Skills
1 Knowledge of correct grammar, spelling, and punctuation.
2 Ability to operate a computer with accuracy.
3 Ability to attend to routine tasks and check paperwork for accuracy and errors.
4 Ability to use office machines including, copier, fax machine.
5 Ability to maintain records journals and files.
6 Ability to write, clear and accurate reports.
7 Ability to deal tactfully and courteously with the public and other city employees.
8 Ability to handle difficult and unusual situations.
9 Ability to use a computer.
10 Communicating effectively verbally and in writing.
11 Establishing and maintaining strong working relationships.
Education
High school diploma or GED required, associate degree in business administration or related field preferred. Additional administrative training or certification is a plus.
Experience
1-2 years of administrative support experience, preferably in government or political office, an educational or district setting desired.
Salary Range
$19.63 - $21.39
