The City of Green Bay Clerk's Office is seeking an Administrative Clerk to perform varied clerical and related work of considerable difficulty calling for the exercise of judgment in carrying out the prescribed routines and procedures.
The successful candidate will possess the ability to provide excellent customer service and thrive in a fast-paced environment. The individual will also possess the ability to perform data entry tasks and bookkeeping functions including money receipting and journal entries.
Work Schedule: Monday - Thursday, 7:30 a.m. - 5:00 p.m. and Friday, 7:30 a.m. - 11:30 a.m. (40 hours per week), plus additional hours as needed for the election process.
No residency requirement.

Examples of Duties
- Serves as first receptionist and cashier. Answers phone, explains department policies and procedures to the general public, responds to questions regarding all facets of Clerk, Treasurer, and general City business, and performs general receipting. Receipts dog and cat license requests.
- Assists in election process by entering new voter registrations and voter changes. Takes absentee votes over counter. Records voter history, assists in mailing of absentee ballots, and assists in preparation of ballot boxes for polling places.
- Prepares agendas for the meetings, records and transcribes minutes, and reports to Council.
- Takes and enters applications for licenses, verifies information, sells and issues various licenses, permits and passes, posts payments. Maintains various license renewals and issues notices accordingly. Performs data entry. Prepares reports and maintains related files and records. Updates Industrial Revenue Bonds for the Finance Department.
- Distributes Tax Exempt Property forms to tax-exempt parcels and reports to the State.
- Maintains Bartender Access Database and runs bi-monthly reports; issues licenses.
- Maintains Economic Interest Statements.
- Searches parcels and issues letters of specials, calculates assessment payoffs. Maintains various indexes. Maintains codebooks, miscellaneous office filing, proof reads official published records, serves as backup for running Account Payable checks.
- Provides general office assistance in the City Clerk's Office.
- Performs other duties as assigned.
- High school diploma or equivalent.
- Two or more years of full time office experience, which includes computer experience.
- Currency handling experience preferred.
- Successful completion of post high school courses in accounting, bookkeeping, business or related field highly desirable.
- Must obtain Beginning State Voter Registration Application System (WisVote) certification within six (6) months.
Knowledge, Skills & Abilities
- Good knowledge of basic office procedures. Working knowledge of business English, spelling, punctuation and grammar. Working knowledge of business letter forms and general filing procedures.
- Good knowledge and skill in performing mathematical computations, cash handling and bookkeeping procedures including preparing journal entries.
- Ability to perform full data entry functions and proficiently utilize a computer and the required software. Ability to operate a variety of office machines. Ability to follow oral and written instructions. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with staff and the public. Ability to work the required hours of the position.
