Job Description
This role involves planning, organizing, and coordinating special events while ensuring operational efficiency and compliance with venue standards. The position is the primary on-site contact for logistical coordination, working to create a seamless experience for clients and stakeholders. Responsibilities focus on operational setup and teardown, verifying that event spaces are properly prepared, and collaborating with staff and vendors to meet event requirements. Work is performed under the general direction of the General Manager. The work schedule will require some work in the evenings and/or weekends.
Essential Functions
Document and oversee event timelines, operational setup, and teardown activities, ensuring all spaces meet required standards.
Actively participate in the hands-on execution of event setup and teardown as needed, coordinating with the operations team to ensure efficiency and accuracy.
Coordinate with clients, staff, caterers, and vendors to align event needs with venue policies and resources.
Serve as the manager on duty during events as needed, ensuring adherence to safety protocols and operational excellence.
Maintain detailed client records, event schedules, and communication logs to ensure consistent service delivery.
Orient new vendors and caterers to familiarize them with venue policies and procedures.
Act as the primary liaison between the venue and clients, addressing logistical needs and resolving issues as they arise.
Knowledge, Skills And Abilities
Strong knowledge of public assembly building operations, venue logistics, and event planning principles. Excellent organizational and communication skills with attention to detail, especially in high-pressure situations. Ability to maintain positive relationships with clients, vendors, and associates. Proficient in scheduling, logistical coordination, and operational troubleshooting.
Experience & Education
Bachelor's degree in hospitality management, communications, marketing, operations management, project management, or related field and 6 or more years' experience in event planning, business, sales, marketing, and public relations, or equivalent combination of education and experience.
Physical Requirements
This work requires the frequent exertion of up to 50 pounds of force and occasional exertion of up to 100 pounds of force; work regularly requires standing, walking, speaking or hearing, using hands to finger, handle or feel, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and repetitive motions, frequently requires lifting and occasionally requires sitting, climbing or balancing and tasting or smelling; work has standard vison requirements; vocal, written, and electronic communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, working in high, precarious places, exposure to caustic or toxic chemicals, exposure to outdoor weather conditions, exposure to extreme cold (non-weather), exposure to extreme heat (non-weather) and exposure to the risk of electrical shock; work is generally in a quiet location (e.g. library, private offices).
Special Requirements
Must be at least 21 years old and can meet NC ABC Rules and State statutes.
