Bookstore Manager
The College of Westchester, an Associate degree- and Baccalaureate degree-granting college, is seeking a full-time Bookstore Manager. The Bookstore Manager’s primary responsibility is to oversee the entire operation of the College Bookstore. This includes planning, budgeting, vendor relations, contract negotiation, inventory reconciliation to the POS system and managing all day-to-day operations, including direct supervision of a college work-study student.
QUALIFICATIONS:
- Bachelor’s degree preferred.
- Minimum 5 years’ experience in management
- Excellent supervisory skills

- Retail experience plus
- Experience with Booklog (POS system) a plus
- Ability to work a flexible schedule including some evenings (during term starts) and as needed
- Proficiency required in Microsoft Office, including Outlook, Word and Excel.
DUTIES AND RESPONSIBILITIES:
- Responsible for ordering all new, used and electronic textbooks for all semester/terms, including Jumpstart & Summer Bridge.
- Responsible for ensuring that all textbooks arrive on time for each semester/term start (well in advance of the start date).
- Work closely with the VP of Academic Affairs and Dean of Faculty and Department Chairs on textbook selection for each course and stay on top of any changes in textbook needs, selection, editions, etc.
- Maintain/update all textbook changes within the bookstore and bookstore information systems including new editions.
- Establish prices for new, used, and electronic books in coordination with supervisor.
- Responsible for researching new vendor options and maintaining relationships with vendor representatives, with an emphasis on regular communications regarding book addition changes, book shortages and special incentive programs for students and college.
- Responsible for researching and proposing ways that the College can reduce book prices.
- Responsible for negotiating special pricing deals with book vendors.
- Responsible for the ordering of desk and review copies for Faculty and Library.
- Responsible for coordinating book returns and running textbook Buy-Back events on a regular basis.
- Responsible for fulfilling all online book orders and ensuring prompt shipping.
- Assist in processing bookstore vouchers.
- Responsible for maintaining inventory using conventional retail methods and regularly holding cross check inventory with the POS system in preparation for the annual financial audit. Responsible for setting schedule for and conducting periodic inventory and reporting of same to supervisor, using all start dates as a guideline.
MERCHANDISE AND SALES:
- Responsible for managing Metro cards inventory and ordering Metro Cards as needed. Responsible for ensuring all cards are valid (not expired) and returning/exchanging expired cards as needed.
- Responsible for ordering all non-book merchandise, managing inventory and proposing changes based on sales. Coordinate with Media resources on purchasing and sales of CW branded merchandise.
- Coordinate all book/Bookstore related items and activities for all Day, Adult and Online Orientations including JumpStart, Summer Bridge and Boot Camp.
GENERAL OPERATIONS:
- Develop and implement standard operating procedures/best practices for the bookstore and recommend appropriate related policies. Maintain documentation of all policies and procedures.
- Develop in-depth familiarity with bookstore POS system and learn new/updated features as called for.
- Work with IT staff for smooth working of integrated SIS system book tracking, financial aid vouchers and electronic purchase system (Follett and Booklog)
- Maintain data tables and configurations in the bookstore information system as needed.
- Review daily data flows between bookstore system and student information systems.
- Maintain online bookstore content and systems.
- Responsible for hiring, training, supervising, and evaluating the performance of all Bookstore FWS staff.
- Produce and publish a monthly Bookstore operating schedule to ensure sufficient day and evening shift coverage.
- Responsible for managing daily reconciliation of bookstore bank.
- Prepare and manage the yearly bookstore budget.
- Manage and maintain the bookstore accounting records.
- Ensure that the required published textbook list posted on the College’s website and Online Bookstore is current and accurate.
- Provide excellent customer service and train bookstore FWS staff specifically on The CW Way customer service philosophy.
Annual Salary: $55,000 to $60,000
